How to set your proofreading rates 

Using the averages in the tables above as baseline rates, here are five steps to determining what you want to charge your proofreading projects:

1. Decide to set per word or per hour (hint: go with per word!) 

While people like to use hourly rates to make it easy to compare between different professions,  it’s not the most efficient approach for proofreaders, especially those working with long-form content. 

As a newcomer to the trade, it’s difficult to gauge how long a project will take and pick a rate that appropriately reflects your work’s quality. Clients understand this — they are less likely to sign a contract with a proofreader offering an hourly quote to avoid the risk of paying for services that aren’t as efficient as they’d like. 

So when is an hourly rate a good idea? When you’re working on a manuscript that’s in terrible shape, or one that requires more specialized proofreading (think scientific papers or historical pieces) — in other words, a manuscript that would require more of your time and care. In such a case, an hourly rate could account for that. 

However, even if you charge for proofreading services by the word, you can still account for these nuances — and here's how. 

2. Determine the amount of work with a sample proofread 

Not all manuscripts are created equal, which is why it's important to get an accurate overview of any project that you plan to take on. Before you send out a freelance quote for the project, ask for an extract from the manuscript, and do a sample proofread. This helps you to estimate how much work needs to be done, and the client to get an idea of your abilities.

3. Consider the deadline 

Deadlines become important only when your client has left things to the last minute. If you’re asked to do your job extra quickly, you can raise your rates. 

As a rule of thumb: projects of 10,000 words should be done within five days. Anything faster than that (if it’s doable given your current workload) should come with extra compensation in addition to your baseline rate, since you’ll be working in your personal time. 

You should also let clients know when they have unrealistic expectations. As an experienced freelance proofreader, you’ll be staggering multiple proofreading jobs at any given time, so projects with longer word counts are unlikely to be turned over in a few days. Adjusting a client’s expectation in a professional manner can help make the negotiation go more smoothly — and can safeguard your own mental health, protecting you from burnout.

Proofreading hourly rates are not common because proofreaders cannot guess how long it will take to finish your document. You’ll only see a few freelancers do this, ranging anywhere from $10 to $100 an hour for specialized proofreading services where the scope of the work is established upfront.

Charging per word is more practical than an hourly wage for beginners and advanced proofreaders. Whereas hourly rates are hard to tell before finishing the job, charging per word is fixed. Clients will quickly sign a contract with you without any risk. 

It’s also easier to set the rate depending on your level of expertise. For example, if you’re a beginner, you might charge $0.012 per word. As you get more experience and expand your portfolio, you can start charging $0.015 per word.  

Determine the Amount of Work with a Proofread

Tip for professional editing: do not give your freelance rates right away. Instead, ask the client for the exact copy of the work. This process is essential because some types of documents are more challenging to proofread than others. You might encounter texts with more mistakes, which ideally cost more. 

Some clients will not give you the entire document because you’ll have access to their work without the contract. You may ask for an excerpt of the text to evaluate and sample proofread. Try proofreading the small piece of text and submit it to your client to give them an idea of your skills.

It’s also essential to inform your client if they are setting unrealistic expectations. Let them know it’s impossible to turn over an entire research article in 24 hours, especially if the subject is beyond your expertise.

Like other services, proofreading costs depend on the service provider’s experience. If you’ve been in the industry for a long time, you deserve to charge higher. That’s because you have encountered the same types of documents and errors in your years of work.

But familiarity with the job is not enough. Continuous professional development is also crucial so you can justify your higher rates. Some proofreaders have been in the industry for years yet have the same skill level.

You can also start receiving training for a specialization. A proofreader or a proofreading company might specialize in translated documents. Others offer different rates for proofreading in US and UK English. 

Check the Type of Document You’re Proofreading

Another consideration for setting your proofreading rates is the type of document. Even if you’re only responsible for mechanical errors, the process still differs according to the genre. For example, documents full of jargon are more challenging to proofread than casual writing.

Set your rates according to the difficulty of the genre. Or you can stick to one or two types of writing and charge more for them. For example, you might be an expert proofreader specializing in academic articles, research reports, and theses.

I started HGPublishing.com in 1996 to teach myself web design and to support my business HyperGraphix, which was focused on desktop publishing at that time (the name Hypergraphix.com was already taken!). By the early 2000s, my business became more focused on editing and proofreading, and I started to expand from local clients as more people sought services through the internet. When the Canadian dollar dropped well below the US dollar, I started iProof.ca because my payment processor couldn't process two different currencies through the same site. To improve my search reach for people looking to polish their master's and PhD thesis documents, I started thesisproofreading.com. Although these sites have overlapping service offerings, you get the same personalized services no matter which one you choose.
