Research Post Graduate (RPg) Students -- Instructions for Data

Beginning with the September 2017 intake, all HKU Research Postgraduate (RPg) students have responsibility for

  • using a data management plan (DMP), where applicable, to describe the use of data in preparation for, or in the generation of their theses, and
  • depositing, where applicable, a dataset in the HKU Scholars Hub. "RPg" includes the degrees of MPhil, PhD, and SJD.

The Graduate School Handbook describes these new regulations. Sections XX and XXI of the Handbook give the Procedures for MPhil and PhD, respectively. In these Procedures, the relevant paragraphs for data are,

  • MPH5 & PHD5 Probation and Confirmation of Candidature – for description of a data management plan (DMP)
  • MPH7 & PHD7 Period of Study – for describing when in the period of study, a dataset, where applicable, is to be submitted
  • MPH14 & PHD14 Submission of Thesis for Examination – for description of dataset submission
  • MPH15 & PHD15 Thesis Examination – for consideration of DMP Entry results and dataset if applicable, and if desired by the examiners

The 2015 Policy on Research Data and Records Management asks that all researchers, including RPg students, properly and ethically describe in a Data Management Plan at the beginning of their project, how they will collect, organize, store, and finally deposit a dataset (where applicable) at the end of their project. The HKU Libraries provide Research Data Services to enable this process.

Manuscript Submission Process

Submit manuscript for an initial format review.

Students must create an account in the ProQuest ETD Administrator before they can upload their manuscript for an initial format review. Initial submission and all revised submissions must be completed through the ProQuest ETD Administrator.

When creating an account on the ProQuest ETD Administrator, a lot of information is required upfront, including access preferences as well as optional paid services like purchasing bound copies of the manuscript and filing for copyright. ProQuest does not complete these instructions using the initial submission. They only publish the final approved manuscript and implement student publishing preferences and any paid services AFTER the manuscript has been approved by the FSU Manuscript Clearance Office and the student's graduation has been confirmed by the Registrar’s Office.

The Graduate School recommends that students submit their completed manuscript for an initial format review at the same time the manuscript is submitted to the committee prior to the defense. However, students must submit their manuscript for an initial format review no later than the relevant initial submission deadline for the semester in which they intend to graduate. Initial reviews are valid for two semesters (the original semester and one semester following). If the defense is delayed further than that, a new initial review must be completed by the appropriate deadline.

While it is understood that content will likely change after the defense, it is expected that manuscripts submitted for the initial format review are at least 90% complete and have been formatted in full accordance with the criteria in the most recent version of the Guidelines and Requirements.

  • 90% complete: MUST include the title page, committee page, table of contents, lists (if needed), abstract, chapters, references, biographical sketch and a majority of tables and figures.
  • Those manuscripts that do not meet this standard will NOT be reviewed and will NOT count as an initial submission to meet any deadline.

The Manuscript Clearance Office works with 250+ students per semester, so students are always encouraged to submit early.

Students must defend no later than the “last day for submission of final defended, content-approved thesis, dissertation or treatise and required forms” for the semester in which they intend to graduate. The Graduate School allows defenses up to this deadline with the understanding that all content corrections must be completed, approved by the major professor or committee, and submitted to the student's online ETD account no later than 11:59 p.m. on that deadline; however, to allow time for such corrections, the Graduate School recommends defending no later than 1 week prior to the deadline.

Submit Revised Manuscript

Once the student has completed all content changes required and approved by the committee, and incorporated all formatting corrections noted in the initial review, the student submits the revised version through their ETD account using the Revise option. The student should not create a new submission. This must be completed by 11:59 p.m. on the “last day for submission of final defended, content-approved thesis, dissertation or treatise and required forms.”

The revised manuscript will be reviewed by the Manuscript Clearance Advisor. If there are additional formatting corrections, the student will be notified. Manuscripts typically require 2-3 revisions to correct formatting issues that may arise after the content is corrected. A manuscript is not considered cleared until the formatting has been approved, all forms have been received and approved by the Manuscript Clearance Office, and the student has received an email from the Manuscript Clearance Office stating that their manuscript has been cleared.

Welcome to HKU! We are thrilled to have you join us this Summer as we begin the journey of research and enlightenment. In addition to working with an eminent professor on a research project, we have prepared a series of academic seminars, workshops and extra-curricular activities throughout the 10-week programme.

You can find the information and details about the programme below, as well as announcements and latest updates. Please visit this page regularly to obtain the latest information.

All participants are expected to start working with their mentor(s) at the University of Hong Kong in person from Week 3 to Week 10 (i.e. June 17, 2024 to August 9, 2024), unless prior approval has been obtained from the Graduate School to arrive later than June 17, 2024 due to exceptional circumstances.

Participants should report to their mentor(s) in person on or before June 17, 2024.  Please contact your mentor(s) as soon as possible (no later than one week before your arrival) and ask for the reporting time and office/laboratory address.  For participants who have been approved to attend the programme in person later than June 17, 2024, please report to your mentor(s) once you arrive in Hong Kong.

Plan A: Jockey Club Student Village IV (Wong Chuk Hang)

The Jockey Club Student Village IV ( 4 Police School Road, Wong Chuk Hang, Hong Kong ) is in Wong Chuk Hang.  All rooms are single-occupancy.  Residential floors are arranged on a single gender basis. Communal bathrooms and toilets, network point, WIFI, hot and cold water will be available. Each resident will be provided with a bed, a pillow, 1 bedsheet, 1 blanket, a desk, a chair and a wardrobe. Air conditioning and linen will be provided but you have to prepare your own towels, tissue rolls and toiletries for environmentally friendly and personal hygiene reasons. 

You will receive your designated college, room number and digital room password prior to your arrival. 

Upon arrival, please visit the General Office of Student Village IV to check-in. Please note that check-in service is only available within office hours and no residences can stay in the college without completing the check-in process. You may find the address and office hours below:

Laundry room inside the college is currently only available for full-time HKU students, please visit the laundry shops nearby and you may find some recommendations here .

Plan B: Jockey Club Student Village III (Kennedy Town) until August 3, 2024; and Student Village IV (Wong Chuk Hang) in the last week of the programme

The Jockey Club Student Village III ( 9 Lung Wah Street, Hong Kong ) is in Kennedy Town.  Residents may be allocated a single room or a double-room (double-occupancy). All rooms are randomly assigned by the University Residential College based on room vacancy. Please stay at your assigned room and no room change/ swapping is allowed.

Each person will be provided with a bed, a pillow, a bedsheet, a blanket, a desk, a chair and a wardrobe. Air conditioning and linen will be provided but you have to prepare your towels and toiletries for personal hygiene reason.

All residents MUST complete your check-in process at the Graduate School Office during our office hours:

You will know the exact college, floor and room that you will be staying at when you collect your room key and smart card at the Graduate School office. Please be reminded to always bring your room key and smart card with you. If you require door unlocking service from the College Security Team, you will need to pay HK$20 service charge in cash on the spot.

The earliest time you can access to your room is at 3:00pm on your arrival date and the check-out time is by 10:00am on your departure date. 

Residents are advised to read through the rules for summer residences before checking in and observe the Rules during your stay at the Residential College. 

Arrangements for moving from Village III to Village IV on August 3, 2024 will be announced in due course.

Scholarship for participants

A scholarship of HK$10,000 will be awarded to each participant of the Programme upon successful completion of the Programme.  

Financial support 

Financial support of airfare up to HK$5,000, and university accommodation up to HK$5,000 will be provided on a reimbursement basis. 

Please note that the Graduate School will only sponsor a round-trip transportation ticket, capped at HK$5,000 for our participants to travel to Hong Kong from the country/city where the participant is residing in. We only allow participants to take multiple rides to Hong Kong if participants can prove the necessity of travelling to multiple cities/ points before arriving Hong Kong, for example, travelling from the country that your University is located at to your hometown for entry permit application, or, one single travelling route to Hong Kong with multiple transfer rides. Multiple rides due to personal reasons are not supported and we hold the authorization to decide whether the participant’s travelling expenses are eligible for reimbursement.

The scholarship and financial support will be provided to each participant upon successful completion of the Programme, and that the performance of the participants must be satisfactory.
