Dissertation survey best practices

There are a lot of DOs and DON’Ts you should keep in mind when conducting any survey, especially for your dissertation. To get valuable data from your targeted sample, follow these best practices:

Use the consent form.

The consent form is a must when distributing a research questionnaire. A respondent has to know how you’ll use their answers and that the survey is anonymous.

Avoid leading and double-barreled questions

Leading and double-barreled questions will produce inconclusive results—and you don’t want that. A question such as: “Do you like to watch TV and play video games?” is double-barreled because it has two variables.

On the other hand, leading questions such as “On a scale from 1-10 how would you rate the amazing experience with our customer support?” influence respondents to answer in a certain way, which produces biased results.

Use easy and straightforward language and questions

Don’t use terms and professional jargon that respondents won’t understand. Take into consideration their educational level and demographic traits and use easy-to-understand language when writing questions.

Mix close-ended and open-ended questions

Too many open-ended questions will annoy respondents. Also, analyzing the responses is harder. Use more close-ended questions for the best results and only a few open-ended ones.

Strategically use different types of responses

Likert scale, multiple-choice, and ranking are all types of responses you can use to collect data. But some response types suit some questions better. Make sure to strategically fit questions with response types.

Ensure that data privacy is a priority

Make sure to use an online survey tool that has SSL encryption and secure data processing. You don’t want to risk all your hard work going to waste because of poorly managed data security. Ensure that you only collect data that’s relevant to your dissertation survey and leave out any questions (such as name) that can identify the respondents.

Presentation format

Eligibility, sourcing media, can i change the layout and design of powerpoint template for my entry.

Yes and no! As long as you retain the pre-formatted bookend slides (= the title and references) you are free to add your own content – this can be in the form of images, video and/or audio, and does not have to be just text.

Do I have to create my entire entry in PowerPoint?

No. You are welcome to create content outside of PowerPoint, then embed it into the template (retaining the title and reference slides). If you create content in third-party applications (such as animation tools) make sure that you have the appropriate permissions or licences to include the content in your entry, and note these on your reference slide. Many tools offer a free account, but make sure to check the Terms of Use.

How long should my entry be?

There is a 60 second time limit for entries; however, you can include as few or as many slides as you wish, keeping in mind that:

  • You must include the first slide and last slide, i.e. the title slide and references slides
  • Your presentation (excl. first slide and last slide) should run for a maximum of 60 seconds
  • Your title and reference slide(s) should run for 5 seconds each

Most VYT videos end up being around 70-75 seconds. Remember, your title slide needs to be 5 seconds and your content needs to be no longer than 60 seconds.

Can I include audio in my entry?

Yes, you are welcome to include audio, be that music, sound effects, or spoken word. If you are using music or sound effects that you have not created or if you have used a software to edit make sure they do not breach copyright or creative commons.

Can I include spoken audio in my entry?

Yes, you can include spoken audio in your entry, although you do not have to. If you do, you will need to include subtitles or provide a transcript upon submission

Can I use Generative Artificial Intelligence (GAI) tools in my entry?

Yes, you can include GAI tools and software in your entry. Just as with other tools and software you may be using, these need to be fully referenced in your citation slides.

Does my video need to be an animation?

No, it does not. You are welcome to use still images, video footage, or a different visual. Part of VYT is presenting your research in a visual format so it does need to be visually engaging.

I’m enrolled for a degree that has a thesis component – can I enter VYT?

The Visualise Your Thesis programme is open to currently-enrolled graduate researchers (i.e. students enrolled in M.Phil., Masters by Research, Ph.D. or Professional Doctorate programmes) at any stage of their candidature who are active and attending of registered VYT 2023 institutions.

Not eligible to enter VYT are

  • Honours students
  • Masters by coursework students (even if their program has a research/thesis component).

I have only just started my research/only in my first year of research – is it worth me entering?

Many students complete the VYT programme in their 2nd or 3rd year, however you are welcome to participate in VYT at any stage in your candidature. You can also enter more than once throughout your candidature- but make sure your entries are significantly different!

I’m a graduate researcher and also an employee at my university – can I enter VYT?

Currently-enrolled graduate researchers who are employed by their university who may have, or may be perceived to have, influence over the outcome, research funding or related resourcing, or an otherwise unfair advantage over the other entrants from their university, may be deemed ineligible to participate. Entrants who are currently employed by their university are encouraged to disclose their employment status and provide information about whether their employment status may provide them with an unfair advantage over other entrants from their university.

I’m on a leave of absence, can I still submit an entry?

No. Only currently-enrolled graduate researchers who are active and attending are eligible to participate in VYT. If you are on a leave of absence unfortunately you are not eligible to enter. If your candidature has lapsed you are also ineligible to participate in VYT.

I’m affiliated with a research institute and a university and both run a VYT programme. Can I enter twice?

No. You can only enter once, so you will have to decide whether you’d like to represent your university or research institute.

Can I re-submit an entry from a previous year?

Entries should be unique and original. The resubmission of previous entries is only permitted where substantial revision has occurred. And no doubt your research has progressed significantly, and you’d like your entry to reflect this!

Can I include images, music, or other audio-visual items that I find on the web in my entry?

You can, provided that the material is copyright compliant and/or you have the appropriate licences and permissions to reproduce it. Remember- just because something is on the internet does not mean you are free to use it, or to use it without correct referencing.

Where can I find free images, music, or other audio-visual items to use in my entry? 

There are numerous websites which provide access to images – Pixabay, Unsplash, and Snappy Goat are a few examples. Many archives and libraries (including the British Library) make their digitised collections available via Flickr Commons – Flickr being another popular image hosting website.  

For music, sites like Incompetech, MuseOpen and ccMixter offer Creative Commons-licenced content. CC Search ( https://search.creativecommons.org/ ) links to media, image and music platforms with content you can use and remix. See the RMIT Library's Copyright guide for advice on sourcing Creative Commons-licenced content.

Again, make sure to check the individual creative commons licence of any object you include and have appropriate citations in the reference slide of your entry.

New to the world of research administation and have a basic question: is it allowed for a graduate student to receive wages while working on a thesis? THANK YOU

This probably depends a little bit on the institution in question. Many Universities will provide some graduate students with stipends while doing graduate work.  This includes their writing time for thesis and its defense.  Additionally, there are teaching and support grants available for graduate students and postdocs that serve as the source of their pay while they are doing this work.

As you'll find when working in this field – a lot – the simplest answer to your question about graduate students receiving wages while working on a thesis is "It depends."

Most graduate students don't receive wages – they receive stipends, either from the institution (typically when they have teaching responsibilities, like lab sections, recitation sections, or assisting lead faculty with courses) or from a grant (when they have funding either in their own right, such as the Graduate Research Fellowship Program from NSF or another similar program from a different funder, or from a research grant on which their mentor is the principal investigator (PI). This is because, as graduate students, they technically aren't employees – they're trainees. Their main job is to learn things – hence, when they are doing research work on a grant, a "full-time" appointment is actually a half-time appointment (not more than 20 hours per week). The other 20 hours of the standard 40-hour week, they're focused on their learning task: going to classes, doing homework, working on their thesis/dissertation, doing research for that, and so on.

If those are the "wages" you're asking about then yes, it is perfectly all right for the student to be paid while completing their thesis work, provided they're keeping up with their other responsibilities.

Also, "working on a thesis" looks very different at the various stages along the way from the initial proposal through to the final defense. It is not uncommon for students in their final semester (or final year) to take only "thesis hours" – that is, coursework that doesn't require them to attend class or complete assignments. They're working, one-on-one with their adviser(s) and/or their research committees, pulling together their research findings and drafting chapters for initial review or incorporating changes required/suggested by their advisers and/or committees and preparing the final version. But before that happy (-ish) time, they're likely doing the same thing as any other student – juggling coursework, research work, teaching duties (if they have any). But again, as long as they're fulfilling the responsibilities (whatever they are) of their appointments, maintaining the appropriate grade-point average, and making satisfactory progress toward their degree requirements, they can be paid.

Now, if you're talking about "wages" in some other sense, then the answer will depend on just what sense you mean, and how that situation fits into all the student's other responsibilities.

What is a literature review? A literature review is a survey of scholarly sources on a specific topic. It provides an overview of current knowledge, allowing you to identify relevant theories, methods, and gaps in the existing research that you can later apply to your paper, thesis, or dissertation topic .

There are five key steps to writing a literature review:

  • Search for relevant literature
  • Evaluate sources
  • Identify themes, debates, and gaps
  • Outline the structure
  • Write your literature review

A good literature review doesn’t just summarize sources—it analyzes, synthesizes , and critically evaluates to give a clear picture of the state of knowledge on the subject.

When you write a thesis , dissertation , or research paper , you will likely have to conduct a literature review to situate your research within existing knowledge. The literature review gives you a chance to:

  • Demonstrate your familiarity with the topic and its scholarly context
  • Develop a theoretical framework and methodology for your research
  • Position your work in relation to other researchers and theorists
  • Show how your research addresses a gap or contributes to a debate
  • Evaluate the current state of research and demonstrate your knowledge of the scholarly debates around your topic.

Writing literature reviews can be quite challenging! A good starting point could be to look at some examples, depending on what kind of literature review you’d like to write.

Before you begin searching for literature, you need a clearly defined topic .

If you are writing the literature review section of a dissertation or research paper, you will search for literature related to your research problem and questions .

Make a list of keywords

Start by creating a list of keywords related to your research question. Include each of the key concepts or variables you’re interested in, and list any synonyms and related terms. You can add to this list as you discover new keywords in the process of your literature search.

  • Social media, Facebook, Instagram, Twitter, Snapchat, TikTok
  • Body image, self-perception, self-esteem, mental health
  • Generation Z, teenagers, adolescents, youth

Search for relevant sources

Use your keywords to begin searching for sources. Some useful databases to search for journals and articles include:

  • Your university’s library catalogue
  • Google Scholar
  • Project Muse (humanities and social sciences)
  • Medline (life sciences and biomedicine)
  • EconLit (economics)
  • Inspec (physics, engineering and computer science)

You can also use boolean operators to help narrow down your search.

Make sure to read the abstract to find out whether an article is relevant to your question. When you find a useful book or article, you can check the bibliography to find other relevant sources.

You likely won’t be able to read absolutely everything that has been written on your topic, so it will be necessary to evaluate which sources are most relevant to your research question.

For each publication, ask yourself:

  • What question or problem is the author addressing?
  • What are the key concepts and how are they defined?
  • What are the key theories, models, and methods?
  • Does the research use established frameworks or take an innovative approach?
  • What are the results and conclusions of the study?
  • How does the publication relate to other literature in the field? Does it confirm, add to, or challenge established knowledge?
  • What are the strengths and weaknesses of the research?

Make sure the sources you use are credible , and make sure you read any landmark studies and major theories in your field of research.

Take notes and cite your sources

As you read, you should also begin the writing process. Take notes that you can later incorporate into the text of your literature review.

It is important to keep track of your sources with citations to avoid plagiarism . It can be helpful to make an annotated bibliography , where you compile full citation information and write a paragraph of summary and analysis for each source. This helps you remember what you read and saves time later in the process.

To begin organizing your literature review’s argument and structure, be sure you understand the connections and relationships between the sources you’ve read. Based on your reading and notes, you can look for:

  • Trends and patterns (in theory, method or results): do certain approaches become more or less popular over time?
  • Themes: what questions or concepts recur across the literature?
  • Debates, conflicts and contradictions: where do sources disagree?
  • Pivotal publications: are there any influential theories or studies that changed the direction of the field?
  • Gaps: what is missing from the literature? Are there weaknesses that need to be addressed?

This step will help you work out the structure of your literature review and (if applicable) show how your own research will contribute to existing knowledge.

  • Most research has focused on young women.
  • There is an increasing interest in the visual aspects of social media.
  • But there is still a lack of robust research on highly visual platforms like Instagram and Snapchat—this is a gap that you could address in your own research.

There are various approaches to organizing the body of a literature review. Depending on the length of your literature review, you can combine several of these strategies (for example, your overall structure might be thematic, but each theme is discussed chronologically).

Chronological

The simplest approach is to trace the development of the topic over time. However, if you choose this strategy, be careful to avoid simply listing and summarizing sources in order.

Try to analyze patterns, turning points and key debates that have shaped the direction of the field. Give your interpretation of how and why certain developments occurred.

If you have found some recurring central themes, you can organize your literature review into subsections that address different aspects of the topic.

For example, if you are reviewing literature about inequalities in migrant health outcomes, key themes might include healthcare policy, language barriers, cultural attitudes, legal status, and economic access.

Methodological

If you draw your sources from different disciplines or fields that use a variety of research methods , you might want to compare the results and conclusions that emerge from different approaches. For example:

  • Look at what results have emerged in qualitative versus quantitative research
  • Discuss how the topic has been approached by empirical versus theoretical scholarship
  • Divide the literature into sociological, historical, and cultural sources

Theoretical

A literature review is often the foundation for a theoretical framework . You can use it to discuss various theories, models, and definitions of key concepts.

You might argue for the relevance of a specific theoretical approach, or combine various theoretical concepts to create a framework for your research.

Like any other academic text , your literature review should have an introduction , a main body, and a conclusion . What you include in each depends on the objective of your literature review.

The introduction should clearly establish the focus and purpose of the literature review.

Depending on the length of your literature review, you might want to divide the body into subsections. You can use a subheading for each theme, time period, or methodological approach.

As you write, you can follow these tips:

  • Summarize and synthesize: give an overview of the main points of each source and combine them into a coherent whole
  • Analyze and interpret: don’t just paraphrase other researchers — add your own interpretations where possible, discussing the significance of findings in relation to the literature as a whole
  • Critically evaluate: mention the strengths and weaknesses of your sources
  • Write in well-structured paragraphs: use transition words and topic sentences to draw connections, comparisons and contrasts

In the conclusion, you should summarize the key findings you have taken from the literature and emphasize their significance.

A literature review is a survey of credible sources on a topic, often used in dissertations , theses, and research papers . Literature reviews give an overview of knowledge on a subject, helping you identify relevant theories and methods, as well as gaps in existing research. Literature reviews are set up similarly to other  academic texts , with an introduction , a main body, and a conclusion .

An  annotated bibliography is a list of  source references that has a short description (called an annotation ) for each of the sources. It is often assigned as part of the research process for a  paper .
