How to write an interview thank-you letter.

Writing the perfect post-interview thank-you letter (or email) is all about knowing the steps (or, generally, what to include in it). What are these steps, and what should be included in the email?

Take a look at our outlined steps below to find out how to write the best possible interview thank-you letter and secure your new position.

1. Write a clear subject line

The first thing that employers (or anyone) see before opening an email is the sender and, more importantly, the subject line. Thus, it’s best to choose a subject line that clearly conveys your message. If you want to go with something a little more formal, consider something like:

  • “Thank you for your time”
  • “Thanks for the interview yesterday” (or today, depending on when it was)
  • “I enjoyed learning more about [ Company name ]”

Alternatively, if you want to go with something a little more casual, feel free to choose one of these options:

  • “Thank you, [ Interviewer’s Name ]!” 
  • “Great meeting you [ yesterday/today ]!”
  • “Thank you!”

And that’s it for the subject line! What’s next?

2. Start with a greeting

Once you’ve gotten your subject line down, it’s time to get into the actual content of the email. Wondering about the best way to do that? Start off with a personal greeting!

There are a few common ways of doing this, including “ Hello [Interviewer Name] ” or “ Dear [Interviewer Name] .” When greeting your interviewers, remember to address them with the name they provided to you, which is typically either their first name or title.

If you were interviewed by more than one person, it’s best to send thank-you notes to each of them (each with their own, unique personal greetings).

3. Show that you’re appreciative

After your greeting, it’s always best to start with an expression of gratitude. Thank your interviewer(s) for taking the time to meet with you, and for considering you for the position. Remember to be genuine and include the specific job title, as employers or hiring managers may be assessing applicants for multiple positions at once.

4. Re-emphasize your interest in the position

While it’s important for your employer to know that you’re qualified and ready for the position, they also want candidates who are eager and enthusiastic about joining the company. So, when writing your thank-you email (or letter), be sure to re-emphasize your interest in the position.

Alternatively, if the interview helped you realize that you’re actually not as interested in the position as you thought you would be, make sure to state that in your email instead! This will help employers narrow down candidates, and your honesty will certainly be appreciated.

5. Mention something specific you discussed in the interview

Thank-you emails are written for many reasons. Most of all, though, they are written to stand out from other applicants. So, how can you make sure your email does just that?

Well, one way is by personalizing your thank-you email. This can, and ideally should, extend beyond the greeting. To make your email as individualized as possible, mention something specific that was discussed in the interview. This may be something that was particularly interesting to you about the position or the company itself, but be sure to explain why it stood out to you. If possible, elaborate on how your skills and experiences can help the employer reach company goals (especially if they’re relevant to what you just mentioned!).

6. Let them know that they can contact you for further information

Close off your thank-you letter by prompting your interviewer(s) to take the next step and let them know that they can contact you for further information (or a reference, another interview, etc.). Something along these lines will do the trick:

“ Please feel free to contact me should you need any additional information that could assist with the decision-making process. ”

7. Sign-off, professionally

Finish off your thank-you email by once again thanking your interviewers. Then, sign off with a “Sincerely,” (or “Best,” “Warmly,” “Thank you for your time,” etc.) followed by your full name. 

Be sure to list your basic contact details (i.e. email address and phone number) below your name, to make it easier for the hiring team to contact you if any further information is needed.

Have you considered sending a thank you note after an academic interview? If you sent one, did you feel awkward, hopeful or optimistic once you have written it?

The idea of sending a thank you note after an interview is nothing new. Many of us, however, consider it solely a gesture to win the interviewer’s favour. According to Peter Steyger, Professor of Otolaryngology at Oregon Health & Science University:

“Sending a thank you note is a good courtesy to have. In practice… it does not and should not sway the interviewer. However, it helps to reinforce an interviewer’s initial opinion of the applicant. It can also help to refresh the interviewer’s memory whilst alleviating any worries that they may have about fitting into the department.”

Professor Steyer affirmed that thank you notes can be useful. They can ease doubts about the applicant. They can be a polite gesture. And they can affirm the interviewer’s opinion of the candidate.

Who to send it to?

Before you find yourself in front of an academic interview panel, you should already know who your interviewers are. This will help you to prepare your answers by tailoring them to their individual areas of interest. Knowing who is on the panel will help you to prepare your thank you note prior to the interview. Be sure to send a personalised note to each interviewer and do include the HR representative (if they are present at the interview).

How to send it?

Ideally you should send off your thank you notes on the day of the interview. Some candidates prefer to email their notes after the initial sessions and others like to send a handwritten note after the final interview. Consider the type of organisation you are applying to. Is it a well-established and formal organisation or is it a young, entrepreneurial and informal organisation? The more formal the organisation, the more you could be expected to send thank you notes after the interview(s).

What content to include?

Keep it clear, concise and bespoke. Aim for less than a page. Show appreciation of the interviewers’ time and paraphrase the discussion. You could reiterate your existing and proposed research to refresh their memory. You could relate your research to their specialties to show the mutual benefit for both applicant and interviewer or the department. If you are applying for a teaching position, reiterate your skills and experience, and include any relevant achievements.

Professor Steyger reminded me to be sincere and genuine. With the right approach, thank you notes can be received in the best possible light.

After the interview, take between 15-30 minutes to think about how it went. Consider writing or typing out notes while things are still fresh in your head so you do not have to rely on memory later. Here are some general tips:

  • Send your notes in a timely manner, ideally within two days of the interview.
  • Email is appropriate, and typically the best way to guarantee your note will arrive in a timely manner. If you prefer to send a handwritten thank you note, consider sending an email and a mailed letter.
  • Send a note to everyone who interviewed you or had a meaningful interaction with. If you do not have contact information for everyone, try researching online or asking your main point of contact at the organization. You can also include them by name in your thank you note to your main contact. For example, "Please extend my thanks to Dr. Lee and Ms. Brown for taking the time to speak with me."
  • Personalize your note by addressing something specific from your interview. For example, mention something you learned during the interview that makes the position or company desirable to reiterate your interest.
  • Be brief and positive. You may include additional information about yourself or clarify an issue that was not adequately addressed while interviewing.

If you return from an interview certain that you do not want this position, you can send a note to politely inform them that you have determined you are not interested. For example, "Thank you again for the opportunity to interview. At this time, I have decided to withdraw from consideration for the position."

Following Up

During your interview, it is a good practice to ask when you should expect to hear back from them. If you have not heard anything after this time, you may follow up with a polite communication restating your interest in the position and inquiring about the status of the search. If no timeline was offered, two weeks is considered an acceptable amount of time to wait before following up. Remain professional at all times and follow-up only once.

  • Remember to write down the name of each interviewer and later locate each person’s email address online; if possible, request a business card from each participant following the interview
  • Send personalized notes to each participant, thanking each person for his or her time; or
  • Send a collective note to the group
  • If your interview was held by phone or video and drafting individual or collective notes and that poses a challenge, write a single note to your primary interviewer, referencing the other participants

The Thank You Letter

The thank you letter is one of the most important,yet probably one of the most underutilized, tools in a job search. It establishes goodwill and expresses appreciation and can strengthen your chances for being hired for the position. Everyone who helped you in any way should get a thank you letter–networking/informational interview contacts, references, and job interviewers. If it’s not possible to send a thank you letter to everyone you met during an interview, send a thank you letter to your host or the highest ranking manager you met, extending your appreciation to everyone else through his or her.

Just make sure to send them as soon as possible after the interview–within 24 hours! It is equally acceptable to send a thank-you letter via email or regular mail, handwritten (if you have neat penmanship) or typed.

Thank you letters should be warm and personal. They’re a good chance to further make a great impression. Start out by expressing your sincere appreciation. Follow by reemphasizing your strongest qualifications. Reaffirm how your qualifications truly match the requirements of the job.

At the close of the letter, mention your interest in the position one more time. This is also your chance to give any bit of new information that would complement what your interviewers learned about you in the interview. Close your letter by restating your appreciation for the interviewer’s time and consideration.

The main parts of a thank you card stay the same, but the style and tone can be changed based on the interview situation. These are the different kinds of thank you notes you might need to write:

Standard Thank You Note: This is the most popular type of thank you letter and it works well for a standard conversation with just one person. It follows the pattern we discussed before: thanking them, showing interest again, and emphasizing important points.

Panel Interview Thank You Note: If you met with a group, sending a separate thank you note to each reviewer shows that you put in extra work and care. Address each note to a different interviewer and discuss something specific they mentioned. The main points should stay the same.

Follow-Up Thank You Note: Following up with a thank you email can be an excellent way to remind the company of your application if they have not replied after an acceptable time, usually a week. In this note, simply state again that you are interested and available. Keep it short and professional.

Thank You For The Rejection: Even if you've been turned down, showing thanks shows you're professional and polite. Thank the person for their time and thought and wish them best of luck with their search. This will make a good impression and lead to future opportunities within the company.

Informal Thank You Note: Sometimes an interview could take place in a more casual setting like over coffee or lunch. It is still okay to send a thank you text, but you can make the tone less official while still being professional.

Have you ever sent a follow-up email after a job interview ? It probably isn’t the first thing running through your mind after you walk out of a job interview, but it’s something that can really boost your chances of landing the job!

An interview thank-you email is always a good idea! But this little piece of post-interview etiquette should be well-crafted, or it won’t mean much. 

In this article, we’ll be teaching you how to write the perfect interview follow-up email.

Why Should I Send One?

Most of the time, you’re not the only person gunning for that job. Sometimes there are dozens, maybe hundreds of applicants you have to compete with: and your interviewer can only keep track of so many people. Sometimes you can’t fully prove your worth in a single interview, and that’s where a follow-up letter comes in.

The key here is to understand that job interviews are 90% social interactions, and they operate on the same standards that we have about establishing working relationships with one another. Sending a thank-you or follow-up letter shows considerate work ethic and professionalism: two things that can get you hired.

Writing A Good Thank-You Letter

You don’t want to write just any boring letter: “thank you for interviewing me, blah, blah, blah” – an insincere message accomplishes nothing. Here are three things that a GOOD follow-up letter should always contain:

A Recap Of The Interview

Even if it’s just a sentence or two, list down the essential points in the interview. The summary is something your recruiter will appreciate if you move up the application process.

Any Additional Information

Sometimes interviews can take less time than you’d like, and some information can get lost in the rush. Your follow-up letter should add more relevant info that you weren’t able to bring up in the discussion.

An Opportunity For More Questions

This can go both ways: either ask something that you weren’t able to ask during the interview or invite them to ask you any more questions. Welcome future dialogue and let them know that they’re free to contact you at their convenience!

Think of the follow-up letter as an extension or conclusion of your interview: it should add on what you discussed, show your interest in the position, and be engaging at the same time. It could be your last chance to build on your first impression, so make it count!

Other Considerations In Sending Follow-Up Letters

Here are some other things about sending thank-you letters after interviews that you should know:

  • The type of interview doesn’t matter. If you did a walk-in or phone interview, always send a follow-up letter.
  • Wait. Don’t send one as soon as you get home! You want to remind your interviewer, not nag them. No three-day rule here: you can wait until the following workday to send your letter.
  • Address it to the person who interviewed you for a personal touch. Most of the time, the person who interviewed you would have given you their email address. If you don’t have it, send it to the company’s HR department, and they’ll usually forward your letter to them.
  • If multiple people interviewed you, send letters to all of them. NEVER copy and paste. Each interviewer would have talked to you about different things, so tailor your messages accordingly!
  • Be professional. Even if your interviewer was casual in addressing you, remember they can use your email as documentation. Always keep things warm and friendly, but never flippant.
