Submitting your thesis for examination (PhD, EdD, MD, BusD, MLitt, MSc)

Format of the thesis, the thesis must:.

be written in British English, apart from quotations and recognised technical formulae

be in A4 portrait format

use one-and-a-half spaced type

include any photographs or other illustrations scanned into the text

be saved in the electronic format and naming style specified by your Degree Committee

Examiners are not expected to edit work. They will deal with errors of fact and typographical errors that affect the meaning of your work, as well as larger structural issues. The extent to which the text has or has not been properly prepared may influence their recommendation concerning the award of the degree. You are therefore advised to check your thesis thoroughly prior to submission to ensure clear, formal British English has been used throughout and that there are minimal typing and/or spelling mistakes.

How and when to present the thesis for examination

You must submit an electronic copy of your thesis for examination, and any required accompanying documents, to your Degree Committee by your submission deadline (which can be found under 'Thesis Submission details' on the Academic tile in your CamSIS self-service). If you are not a self-funded student, the terms and conditions of your funding may require you to submit your thesis earlier than the date shown in CamSIS. If you are unsure what your funder-expected submission date is, you should contact your Funding Administrator. You are required to submit your thesis for examination by your deadline even if the date falls over a weekend or holiday period.

Your Degree Committee should provide you with guidance for electronic submission; please contact them directly if you require any assistance.

The thesis you submit to your Degree Committee will be the thesis forwarded to the examiners for examination. It is not possible to 'retract submission' or to send a revised copy directly to your examiners. Therefore you should carefully check the file(s) you upload when submitting your thesis.

Postgraduate students must keep a minimum number of terms of research before they can submit (for example, 9 for the full-time PhD or 15 for the part-time PhD or EdD) unless they have been granted an allowance or exemption of terms . If you attempt to submit too early and have not had an allowance or exemption of terms approved, your thesis submission will not be accepted or will be kept on hold and not forwarded to your examiners until the first day of your 9th (full-time) or 15th (part-time) term.

Requirements

You must include the following bound inside your thesis:

Please ensure the pages are in the correct order. This is very important - if these preliminary pages are in a different order in your final hardbound thesis to your thesis submitted for examination, this could cause problems and delay approval for your degree.

1. A title page displaying:

the full title of the thesis

your full legal name (as it appears on your passport, marriage certificate or deed poll)

your college

the date of submission (month and year)

a declaration stating: "This thesis is submitted for the degree of Doctor of Philosophy/Doctor of Education/Doctor of Business/Doctor of Medicine/Master of Science/Master of Letters (as appropriate)."

2. A declaration in the preface stating:

'This thesis is the result of my own work and includes nothing which is the outcome of work done in collaboration except as declared in the preface and specified in the text. It is not substantially the same as any work that has already been submitted, or, is being concurrently submitted, for any degree, diploma or other qualification at the University of Cambridge or any other University or similar institution except as declared in the preface and specified in the text. It does not exceed the prescribed word limit for the relevant Degree Committee.'

3. An abstract/summary of your thesis

You must also submit the following documents (not included inside the thesis):

Required: One declaration form

Optional: Research Impact Statement If pandemic, war/conflict, or natural disaster have significantly impacted on your research, you are invited to submit a Research Impact Statement with your thesis using the template provided. The purpose of the statement is for you to describe any restrictions or difficulties experienced in undertaking your research as a result of pandemic, war/conflict, or natural disaster, and to provide details of any alternative arrangements made to complete the work for your thesis. Further details for students and supervisors can be found in the Research Impact Statement guidance  and the Research Impact Statement form can be downloaded here . 

Inclusion of additional materials

Students other than those in the Faculty of Music must seek permission through their  CamSIS Self Service page if they wish to submit additional materials for examination alongside their thesis. Additional materials are integral to the thesis but in a format that cannot be easily included in the main body of the thesis (for example, 3D graphics). You should refer to the ' Policy on the inclusion of additional materials with a thesis ' before making an application to include additional materials. This process should be initiated prior to the thesis submission. If a thesis is submitted with additional materials and without permission to include them, it will be held by the Degree Committee until approval is confirmed.

Please bear in mind that if you are granted permission to submit additional materials, you are required to upload the same materials to the University repository, Apollo , when you submit your approved thesis  post-examination (doctoral candidates only). Therefore, the inclusion of additional material that contains uncleared third-party copyright or sensitive material may affect the access level that is most appropriate for your thesis.

Submitting a revised thesis

If you are resubmitting your thesis following a viva outcome of being allowed to revise and resubmit the thesis for examination for a doctoral degree, you need to follow the same procedure as for the original thesis submission .

What happens following submission of the thesis for examination 

When you submit your thesis for examination the Degree Committee will check the submission, acknowledge receipt, and inform Student Registry you have submitted. The Student Registry will update your CamSIS record.

The Degree Committee will forward your thesis to your examiners. If you have not received confirmation of the date of your viva (oral examination) within six weeks of submitting your thesis, or if you have any questions with regard to your thesis at this stage, you should contact your Degree Committee. 

Your Examiners should not ask you for a printed copy of your thesis or other material in advance of your viva (oral examination). If they do, please seek advice from your Degree Committee.

Dedication, acknowledgements, & preface

Dedication, Acknowledgements, and Preface sections are all optional pages. But, what is the difference between these three?

Dedication — A personal tribute to someone or a group of people. Example: "To my parents."

Acknowledgements — A professional tribute to a person or people who helped you with the thesis. Example: "I wish to thank my thesis advisor for the hours of help in the lab making sure the experiments were set up properly and guiding me through the thesis process."

Preface ( sometimes confused with Foreward or Prologue ) — A very rarely included section that details why you are qualified to write about your topic of your thesis or why you became interested in the topic (for example, an anecdote about a childhood incident that led you to become interested in the topic). Do not confuse this with the literature review; this is more of a personal story.

What format is the template (doc, pdf, ppt, etc.).

The dissertation template is provided as a Google Doc. You can download it in MS Word format or make a copy to your Google Drive. You’re also welcome to convert it to whatever format works best for you, such as LaTeX or PDF.

What types of dissertations/theses can this template be used for?

The template follows the standard best-practice structure for formal academic research projects such as dissertations or theses, so it is suitable for the vast majority of degrees, particularly those within the sciences.

Some universities may have some additional requirements, but these are typically minor, with the core structure remaining the same. Therefore, it’s always a good idea to double-check your university’s requirements before you finalise your structure.

Will this work for a research paper?

Is this template for an undergrad, Masters or PhD-level thesis?

This template can be used for a dissertation, thesis or research project at any level of study. It may be slight overkill for an undergraduate-level study, but it certainly won’t be missing anything.

How long should my dissertation/thesis be?

This depends entirely on your university’s specific requirements, so it’s best to check with them. As a general ballpark, Masters-level projects are usually 15,000 – 20,000 words in length, while Doctoral-level projects are often in excess of 60,000 words.

What should the declaration about the thesis look like.

Note: The last sentence „For a thesis of the Department of Architecture, the submitted electronic version corresponds to the presented model and the submitted architectural plans“ is only needed for theses of the Department of Architecture and can be omitted in statements for theses of other Departments.

The students upload their final thesis in TUbama (the declaration about the final thesis is part of the uploaded electronic final thesis) and send at the same time an e-mail to the office for student affairs with the signed and scanned declaration about the final thesis according to §22 (7) APB.

FORMAT OF DISSERTATION OR THESIS

All theses must be prepared according to both the University of Ghana format requirements and School/departmental documentation or reference formats. Such formats must be deposited with the School of Graduate Studies. Where there is conflict between Departmental style and the University Style, the latter must be satisfied. Students must consult the University and School/departmental manuals for details.

College/School Format Requirements

Notwithstanding the above, School/departmental formats shall apply to:

  • Chapter Structure Design

  • Reference Style
  • Figures and Tables
  • Chapter Content Design
  • List of Abbreviations

University Format Requirement shall consist of the following sections:

Preliminary Information

Substantive Section

  • Bibliography and Appendices
  • Title Page 

The title page shall consist of the following which should be centered following the sample and wording in the Graduate School Manual:

  • Title of the Thesis
  • Statement of Submission
  • Name of Candidate (No Titles)
  • Student Number (In brackets below the name)
  • In partial fulfillment (partly taught courses, e.g. MA MPhil) of the Requirement for the Award of (Relevant Degree, e.g. Master of Philosophy – written out fully)
  • The date of submission (Month and Year)
  • Declaration/Signature Page
  • A candidate submitting a dissertation or thesis for an Masters degree shall make a declaration to the effect that the thesis/ dissertation is his/her own work produced from research under     supervision.
  • Signatures: The declaration page shall be signed by the following:
  • The Candidate
  • Supervisors

Every candidate shall present a short abstract of his/her dissertation or thesis of a maximum of 2 pages (double spaced).

  • Dedication (Optional)
  • The candidate may briefly acknowledge those who made important contributions to the success of his/her research and presentation of thesis.
  • Where the thesis has benefited from a collaborative project done in conjunction with the candidate’s Supervisor(s), this should be dully acknowledged.
  • Table of Contents

A well aligned presentation of preliminary information, chapters with subsections, bibliography and appendices of the thesis with relevant page numbers indicated.

  • List of Figures/Maps

A list of figures and maps with their relevant designated numbering and relevant pages at which they are located.

  • List of Tables

A list of tables with their relevant designated numbering and relevant pages at which they are located.

A list of relevant abbreviations and their full rendering occurring in the thesis.

  • Chapter Structure

A thesis must consist of substantive Chapters including an introduction, intervening chapters and a concluding chapter as determined by the School/departmental format which has been deposited with the School of Graduate Studies.

The reference style shall follow the School/departmental format which has been deposited with the School of Graduate Studies.

  • Thesis Size

A thesis/dissertation shall normally not exceed the following pages excluding bibliography, figures, tables, photographs, and appendices.

Bibliography and Appendices 

  • The bibliography should be placed at the end of the thesis and not after each chapter with the exception of cases where the Departmental format filed with the School of Graduate Studies requires this.
  • The order of arrangement of the bibliography and appendices should follow the format of the Graduate School Manual, unless the Departmental format requires an alternative order.
  • The candidate may submit, as subsidiary matter in support of his or her candidature, any printed contributions to the advancement of his/her subject, which he or she may have published independently or jointly, or any other supporting material. In the event of a candidate presenting material from joint work, he or she shall be required to state fully his or her own contribution.

Presentation Format

  • Two (2) typed or printed copies of the dissertation or thesis, using standard A4 paper, shall be submitted to the School of Graduate Studies through the Head of Department for examination.
  • Typed thesis should be on only one side of the paper.
  • Margins: When bound all margins of the thesis should be 2.54 cm (1 inch).
  • Font Type & Size: Theses should be typed in New Times Roman Font Size 12.
  • Chapter headings should be in New Times Roman Font Size 14 Bold.
  • Font sizes for indented citations, graphs, figures and tables should not be lower New Times Roman font size 10.
  • Page Numbers: Page numbers should be centred at the bottom of page throughout the thesis.
  • The preliminary pages should be numbered with Roman numerals.
  • Page numbering in Arabic numerals should run through the entire thesis.
  • Footnote numbering should run through a thesis.
  • Footnotes NOT Endnotes should be used in all theses.

Examination Copy

  • A thesis submitted for examination should be bound in soft manila card cover (green or light blue). The cover should bear the details of the Title Page of the thesis.
  • For the purpose of examination, a candidate shall be required to submit two (2) copies of his/her Masters degree thesis or dissertation and a soft version in PDF.

After the dissertation or thesis has been approved, it must be bound in standard form Art vellum or cloth; overcast; edges uncut. Three (3) final hard copies and the PDF soft version of the thesis/dissertation that have been accepted for the award of a Master’s or a Doctoral degree shall be distributed as follows: 

One (1) hard copy and the PDF version shall be sent to the School of Graduate Studies to be kept by the School; 

The remaining two (2) copies shall be retained by the candidate’s Head of Department, one of which shall be kept in the Departmental Library and the other given to the candidate.

Labelling of Final Copy

  • Front Cover 

The front cover of the final copy should be lettered boldly in gold (0.5.-1.25cm) with the details of the Tile Page of the Thesis. 

The spine of the thesis should be lettered boldly up back in gold (0.5 to 1.25cm) with the degree, date, name, before the award of the Degree is published by the Registrar.

Final Theses

Registration of thesis.

To register for theses, please contact your  examination team by email.

  • You will receive the registration form from your exam team on request.
  • You send the completed  form from your TU e-mail account to your examination team.
  • Your exam team will check the prerequisite, fill out their part of the form and send it to the first examiner.
  • The first examiner determines the topic, suggests a second examiner, signs the form and forwards it to the examination board.
  • The examination board sends its decision to the examination team.
  • You will then receive information about the specified topic and the submission deadline by email to your TUB account or by post. The submission deadline is determined based on the regulations of your StuPO.

Academic Adjustment

Requests for academic adjustments in the context of final examinations (e.g. extension of the processing period) should already be submitted when the application for topic issuance is made. The compensation for Academic Adjustments does not belong to the reasons according to the StuPO for which an extension of the processing period can take place, i.e. that, for example, a limited illness during the processing period can additionally extend this period.

Thesis processing period

The thesis processing period begins the day the examination team assigns you your topic. It ends at a fixed time.

Application to extend processing period

You must submit a request to extend the processing period to your examination team before the standard period ends. No specific form is usually required. But some examination boards provide forms; please check the website of your examination board for more information. If you are requesting an extension due to illness, you must include a sick note (Gelber Schein) from your doctor with your application. A detailed sick note (Attest) is required upon the third request for extension. If you are requesting an extension due to reasons of content, include a statement from your first examiner with the application.

Submission of Final Theses

The submission of theses is usually done by submitting 2 bound printed copies + an electronic version on an enclosed stick or CD (please do not send the electronic version by e-mail) in a sealed envelope addressed to the responsible examination team

  •     by mail or
  •     in person at the gatekeeper in the main building of the TU Berlin (manned 24/7) or
  •     in person during opening hours at the Campus Center or
  •     in person by appointment at the responsible examination team.

With the consent of both examiners, the submission can also be made exclusively electronically to the team mailbox of the examination team responsible for your degree program; you are obliged to coordinate the form of submission with the examiners in good time; a written confirmation for the Examination office is not required.

Depending on the type of submission, the following is decisive for timely submission

  •     the date of the postmark or
  •     the date of the receipt stamp of the porter's lodge or the Campus Center
  •     the date of personal delivery to the Examinations Office
  •     the date of receipt of the e-mail in the Examinations Office.

For electronic submissions, email the paper in PDF format to your designated exams team or deposit it in the cloud and send us the link. Please also attach a photo or scan of your entry form.

  • The thesis file should be named as follows: Thesis_YourMatriculation_Number.pdf.
  • Matriculation number:
  • Degree and program of study:
  • Name and email address First examiner*:
  • Name and e-mail address Second examiner*:
  • Title of the submitted work:
  • Declaration that the thesis contains a declaration of independence according to § 60 Abs. 8 AllgStuPO.
  • If the thesis is written in a foreign language that is not the language of examination according to the study and examination regulations: Declaration that the thesis contains a German summary. Please refer to the instructions on our website and, if applicable, to your StuPO for the instructions that are necessary.

If the submission deadline ends on a Sunday or public holiday, a postmark on the following business day is considered to be on time for postal delivery; for personal delivery of printed versions, the deadline is considered to be on the following business day.

Please note that you must register your thesis before you begin any substantive work. Final papers will generally not be accepted by your exam team until half of the completion time specified in the degree program's regulations has passed.

Early submission of the thesis

You would like to submit your thesis to your examination team before half of the processing time has elapsed? If so, you must also submit a statement from the first examiner, confirmed by the examination board, justifying an early submission. This statement will be attached to your examination file. If this statement or the confirmation of the examination board is missing, your examination team will inform the examination board and ask you to submit the corresponding statement later. This also applies should you hand in your thesis by mail or to the gatekeeper before half of the processing time has elapsed, e.g. due to closing times of your examination team.

Submission deadline in the semester of leave

The deadline for submitting your thesis falls in your semester of leave and you cannot submit it on time? Then you must apply for an extension of the deadline.

Ben Bradlow, an assistant professor of sociology and international affairs, was selected as a Canadian Institute for Advanced Research (CIFAR) Azrieli Global Scholar in the research program on "Humanity's Urban Future." Bradlow's research makes connections between climate change, urbanization, industrial change, and the political challenges to democracy that confront societies across the globe.
