The PhD journey is a long one where it’s easy and normal to feel unmotivated for certain stretches of time. We all need a little inspiration to perk us up during those days. Jenny Mak offers you four handy motivational quotes for when the going gets tough during your PhD…

“Success requires Action”

We all procrastinate. It’s something that is easy to do especially at the beginning of your PhD when it feels like you have a lot of time. But to be successful—by this I mean successfully finishing and submitting your thesis—it’s not enough to say that you want a PhD, you also have to do the work. Doing the work means sitting down at your desk, butt firmly stuck to chair, and just doing it. It helps to set yourself concrete goals like writing 500 words a day, and trying your best to meet that target every day.

“Progress, not Perfection”

Perfectionism often gets confused with having high standards. For me, this has meant that I’d revised a chapter countless times before sending it to my supervisors for feedback because I felt that it just wasn’t right. But here’s the problem: the “right” version doesn’t exist. It’s an illusion—painfully shattered when you get back said chapter with lots of critical comments from your supervisor. Conversely, something that you think is “average” might actually be good enough for your supervisor. It’s good to have high standards, but don’t kill yourself over them. “Good enough” tends to be good enough. Check out Petra Kolber’s TED talk titled “The Perfection Detox” for some sharp insights into the perils of perfectionism.

“Eat the Elephant one bite at a time”

I don’t remember where I heard this quote. But it came handy in the late stages of my PhD when I felt tired and frustrated that no matter how much and how fast I was writing and revising, there still seemed to be no end in sight. Finishing a thesis can feel like having a huge elephant in front of you that you’re supposed to eat in its entirety. Of course, if you mainly focus on how massive this elephant is and when you can finish eating it up, you will feel overwhelmed. But if you take the elephant bite by bite, and not think about how much of it is left, one day the elephant will be all gone. The same goes for your thesis: break it down to small actionable tasks and do one task after another, until it is done and ready for submission.

“Enjoy Climbing the Mountain”

Doing a PhD is extremely challenging work. While we do it for the intellectual stimulation, sometimes we might wonder: why do we put ourselves through such difficulty? If you need a reminder of why you have chosen to do this, here is a quote by Tadashi Yanai , the founder of Uniqlo, which I have found helpful: “I’m never really satisfied with anything because the world is ever-changing. If you keep climbing up, then you see another, higher mountain. You climb up that peak and see another. I will pass away eventually because that is life. We’ve been posting motivational science quotes every Monday for a couple of years now. Why do we do it, you ask? Because we love digging into the wisdom of scientists past and present, reminding ourselves why the work we do is so important. And we love being able to pass on these little nuggets of optimism and motivation as we find them.

When we interview scientists for our blog , as well as asking them for their favorite science jokes , as we also ask what their favorite science quotes are.

We’ve had so many brilliant ones shared with us, so we wanted to collect our top 25 into one great big inspirational blog for you. Bookmark this page for whenever you feel like life in the lab is getting you down.

“Although from a sci-fi book, I think it captures the spirit of the scientific frontier,” says Martyn Webb , who’s studying for his PhD at the University of East Anglia.

We’re sure every passionate early career researcher will agree! Thank you Dr Deborah Kronenberg-Versteeg from the University of Cambridge for sharing this beautiful quote from the British-born American astronomer and astrophysicist (who proposed in her 1925 doctoral thesis that stars were composed primarily of hydrogen and helium).

3. “What you learn from a life in science is the vastness of our ignorance.” – David Eagleman

Next time you feel pressure to know everything, remember this quote that Dr Laura Boddington shared with us. Knowing everything is impossible, don’t let imposter syndrome take hold!

Kate Manley , part of the Prostate Cancer Genetics Team at the University of East Anglia, reminds us of the importance of acknowledging all the scientists whose discoveries have made our current work possible.

Just because you aren’t the first person to do it, doesn’t mean it’s not hugely important. Thank you to Lab Heroes Winner Dr Enitome Bafor from the University of Benin for the reminder that there’s always a new way to see, understand, and communicate things.

“[This is] my favorite quote that I have held onto since graduate school,” says Madison Fletcher , a postdoc at the University of California, Irvine. We can see why, and we love this too.

We love this quote, shared with us by Dr Samantha Murray . It reminds us that our passion for what we do is as important as our ability.

14. “If you know you are on the right track, if you have this inner knowledge, then nobody can turn you off... no matter what they say.” – Barbara McClintock

Maria Diehl shared this wonderful quote from Barbara McClintock, cytogeneticist and winner of the 1983 Nobel Prize in Physiology or Medicine, with us. A brilliant reminder to always trust our gut instinct, and follow our curiosity.

15. “Above all, don't fear difficult moments. The best comes from them.” – Rita Levi-Montalcini

Another brilliant quote shared by Maria Diehl. Rita Levi-Montalcini won the 1986 Nobel Prize in Physiology or Medicine jointly with colleague Stanley Cohen for the discovery of nerve growth factor. So we’re definitely inclined to take her advice.

Professor Elek Molnar from our Scientific Advisory Board reminding us that, as life scientists, our ability to research is something truly special.

“It sums up my scientific method,” says Stuart Maudsley from the University of Antwerp.

This quote, shared by postdoc Christina Murray from UCL, feels especially pertinent right now.

Another great quote that’s one of Paula’s favourites, and one to remember when we feel too scared to ask that burning question. We’re all still learning, no matter how far along our career path we are. That’s the beauty of science.

Yep, this is our third Einstein quote of the article. But you can’t deny the guy knew what he was talking about! This quote shared by our Head of Chemistry Dr Richard Patterson reminds us of the importance of thinking outside of the box.

What better sentiment to end on than this? This is one is our Director of Marketing Dr Sam Roome ’s favorite quote. Because science is sometimes hard, and messy, and complicated, and frustrating… but at its core, it’s absolutely beautiful.

#100: PhD success stories that motivate!

It’s celebration time in the Smart Academics Blog office, as we mark post #100. On this special occasion, we want to put the success of some of our previous students centre stage! Here, we’ll celebrate five researchers who successfully completed their PhD. We hope that reading their stories will help you to move toward your own PhD completion. What they have to say is highly motivating and encouraging, and all five share their advice on what they would do differently in hindsight—there are some lessons to learn here!    

Light the candles on the cake! Today, the Smart Academics Blog has its 100th birthday! No, it’s not 100 years, but today we release blog post #100. We’re immensely proud of it and we’re grateful for the supportive feedback we’ve received from many of our readers. 

When starting the Smart Academics Blog two and a half years ago, we wanted to create a forum where we could share experiences from our daily work supporting young academics in their career development. We decided to write one weekly article about a topic that helps PhD students, Postdocs, Early-career researchers, etc., to develop their life and career in academia. Therefore, this post is all about sharing success. We asked a few of our best students to share their personal PhD success stories with you. We wanted them to share what it meant for them to gain a PhD, how it felt when they completed it, how attaining their degrees has changed their life, and  how they felt we supported them in getting there. Finally, we asked them to dish out one piece of advice for you regarding what they would do differently during their PhD in hindsight. 

The stories of our students—passionate, dedicated, engaged, recent grads—made us very proud. We hope that sharing these stories with you will boost your motivation to keep up the good work and keep moving ahead towards PhD completion.  

Success story #1: Maria-Elena Vorrath (PhD), Geosciences

Maria-Elena Vorrath, PhD

“The best experience in my PhD was when my first paper was cited because it gave me the feeling that my research brought significant information to the community. After teachers had doubted my abilities in natural science and lecturers criticised my ambitions to go into academia, holding the PhD certificate in my hands was a big win. 

My PhD time helped me find out what I really want: No more talking, I combat the climate crisis! Luckily, my degree enables me to find science-based solutions which may have a measurable effect on atmospheric CO 2 concentrations and global temperature. 

The courses from Tress Academic helped me to shape my scientific profile and gain a valuable tool box of skills during and after the PhD. They also helped me to handle several crises and not lose confidence in myself during hard times. 

If doing my PhD again, I would take more time to study and practice methodologies in related fields, and I would definitely be more confident in saying ‘no’.”

Success story #2: Vasileios Pefanis (PhD), Climate Scienc e

“I am Vasilis and I recently completed my PhD in Physical Oceanography. After graduation, I had the chance to enjoy a long holiday in my home country, Greece, and dispel all the stress from the last year. I believe that pursuing a PhD teaches you how to work in a structured way, overcome setbacks and foster your problem-solving skills. At the moment I’m looking forward to using this skill set to do meaningful work in a research-related role in the industry. 

What helped me the most from the TRESS ACADEMIC courses I attended was the guidance on coping with the challenges of the PhD and efficiently managing my time. It was also very valuable to see that the challenges I was facing were very common among PhD candidates. My advice to other PhD students: If you’re experiencing a conflict with supervision, try to effectively deal with it as early as possible, otherwise the problem will remain. If there is no improvement, know that replacing your supervisor is an option.”

Success story #3: Anu Susan Sam (PhD), Agricultural Economics

“The best experience from my PhD? My father was immensely proud and happy that his daughter was working towards a PhD. Unfortunately when I obtained my degree, he was not in this world anymore to see his daughter’s success. So I dedicated my PhD degree to my father. I know if my father would be with me now, he would be the happiest person to see my PhD degree. 

Completing my PhD degree has brought many positive changes in my personal and professional life. I became a more organised and disciplined person. In 2015, I attended two courses of TRESS ACADEMIC : (1) Coping with the challenges of a PhD and (2) How to publish in peer-reviewed journals. Both courses helped me a lot, and I am very thankful to Bärbel and Gunther. The first course helped me to organize my whole PhD period efficiently, work accordingly, and successfully finish my PhD on time. The second course changed my writing style. It helped me write my articles in a very professional way. Since 2016, I have successfully published 7 papers in international peer-reviewed journals, and three are currently under review. 

When looking back, I always feel that I should have had a proper work-life balance. The key to a healthy PhD is an effective work-life balance. It is very essential to have pauses and breaks during your PhD to avoid burnout. These breaks and pauses help you to enjoy what you do rather than seeing it as a liability.”

Success story #4: Janosch Michaelis (PhD), Atmospheric Science

“I am very satisfied with my time as a PhD candidate. It started well since I quickly got into the research topic and experimented with the computer model that I used in the upcoming years. After six months, I attended Bärbel’s course on coping with the challenges of a PhD. One thing I remember from it was that the timeline you face during a PhD has lots of ups and downs. Sometimes things take a bit longer, and other things can go by quicker than you think. For me, the PhD process was not a straight horizontal line until the end. At a certain point, repeating the model experiments again and again was not really fun anymore. What helped me most when these rather frustrating times showed up was to talk about it with other people. 

Moreover, I realised that postponing regularly reporting your PhD progress to your supervisor(s) or your thesis committee doesn’t make things better, and in fact  worsens your situation. I know that there are some PhD candidates who seriously struggle building a good relationship with their supervisor(s)—fortunately, mine all supported me a lot—but having a regular exchange with the supervisor and talking about your PhD situation really can bring a positive change.

Two other things I’ve really enjoyed during my PhD time: the experiences I had during an expedition in the Arctic, and as a PhD representative at my institute. Both boosted my motivation. From a more technical point of view, Gunther’s publishing courses have also helped me a lot, especially with structuring the process of writing research articles. 

Finally, I am just happy and thankful that I got the opportunity to pursue a PhD in the discipline I have been fascinated  with for a long time. But for now, I am also really happy that I don’t wake up every morning to face the fact that there is a thesis that still needs to be written … :)”

Success story #5: Jakob Belter (PhD), Sea Ice and Climate Physics

“Finishing my PhD meant a great deal to me. I had set the goal to finish it within the three years I had available, and achieving it was a great feeling. The next day, I definitely woke up with a smile on my face, but it took a while for it to really sink in.

I think the biggest change was that I proved to my colleagues that I could get stuff done when necessary. Yes, I could do it! My research is strongly based on field work, and finishing the PhD really opened the door for additional field work expeditions for me, and I was rewarded with more responsibility during those expeditions. 

I know that the TRESS ACADEMIC courses provided me with a lot of knowledge and insight that I use daily without even realising it. But there are two things in particular that I remember: One is the ’to do list’ tool ToDoist , which was introduced in the PhD course ‘with Bärbel. I took the course during my first month as a PhD student and started using the tool right away. It helped me structure my work, and I also realised how achieving tasks (even small ones) motivates and pushes you (I still use it every day). 

The second course that really helped me was ‘How to present at international conferences’. This course in particular highlighted how important it is to tailor presentations to the audience you are addressing so that people really engage with your work, and provide feedback and start discussions that help develop your project. Giving good presentations is a process, but this course really highlighted the key ingredients of a great presentation. It was a great feeling to present my work in my PhD defence and know that I nailed it!

What helped me most during my time as a PhD candidate was never forgetting  what my goal was. There is always a lot of work, and much of it is unrelated to your own project. At some point, you have to start saying ’no’ to this other work and focus on what gets your PhD project to the finish line. I was lucky enough to have a great work environment, and colleagues that helped me stay on track. So I wouldn’t have done anything differently, but I highly recommend to others to keep the focus on YOUR project!”

The 9 most effective ways to achieve PhD success

Writing a PhD is physically, intellectually and emotionally daunting. You may spend each day doubting yourself, not sure if you’re making the right choices and unsure whether you’ve got what it takes. During my life, I’ve helped thousands of PhD students like you. I want to share with you the nine most effective ways of achieving PhD success.  

They should give you some fresh insight into what it means to be a PhD student and what it takes to achieve PhD success. They will also make you think differently about the way you work. Some you may be familiar with, but others may be new. As with everything, keep an open mind and ask yourself whether a particular tip would be useful in the context of your own research and way of working.

1. Stop with the perfectionism

Your first drafts are probably going to be awful, and your final drafts will still have things that you could improve. In short, your thesis will never be perfect. 

However, just because your PhD isn’t perfect, that doesn’t mean it’s a failure. 

  You may try and convince yourself otherwise, but a few mistakes here and there or a research design flaw or two aren’t the end of the world. If you’re a perfectionist like I am, you probably know the struggle of trying to make sure you’ve made everything as good as it possibly can be, often at great cost. You also know the panic that sets in when you realise you’ve made a mistake. 

You’ll recognise how the importance of that mistake escalates. In your eyes, it isn’t just a mistake. It’s the end of the world. When you spot yourself falling into this trap, remind yourself that you’re only human, the person reading your thesis is human, and you’re not expected to execute everything perfectly all of the time. 

I n short: give yourself a break. 

2. Ask, ‘So what?’ 

I proofread a lot of PhDs and I coach a lot of PhD students. When I do, I find myself asking one question over and over again: ‘So what?’

When you are writing about, say, particular design decisions, or a specific theoretical concept, ask yourself ‘so what?’ That way, you go beyond merely discussing a particular phenomenon, method, or whatever, and instead tell the reader why such a discussion is important and why it is relevant in the context of your thesis.

That’s because, in your thesis, everything should be rooted in your research questions, research aims and research objectives. By asking ‘so what’ you are showing what those roots look like and, in doing so, being explicit about why a particular discussion is worth having and telling the reader why they should care you are having it. 

For example, if you are talking about a particular method, by asking ‘so what’ you tell the reader why that method is appropriate given your questions/aims/objectives, what benefits or drawbacks it will bring, and how it will bolster your study. If you fail to ask ‘so what’, you’re just describing a method and the reader is left wondering – you guessed it – ‘so what?’ 

3. Be critical 

Critical engagement with the literature is key when conducting a PhD. It isn’t just enough to summarise existing research, you need to pick holes in it and critique it. You need to say what’s good and bad about it, why it is relevant, what could be improved, and more. I’ve written an extensive guide on how to be critical in your literature review, so if this is something you struggle with, you should check it out. 

Beyond this, you need to be critical of your own writing. When you read back through drafts of your text, you should ask the same questions of your words: what works, what doesn’t, what is relevant, what could be improved, and so on. 

What separates draft chapters from passable, finished ones is the level of critical engagement. This has two implications. First, you won’t succeed unless you’re thinking and writing critically. Second, your first drafts won’t be as critical as they need to be and that’s fine. That’ll come as you revise the draft and you start to critically engage with your own writing.

4. stay organised as you write.

Learn how to stay organised and productive. Your thesis is going to run into several hundred pages, so staying on top of its organisation and layout is key. 

The easiest way to easily navigate through your text and to see what’s what is using the document map feature in Word. By effectively using the headings style pane, you can create a scrollable and clickable document map. It’s great for showing you the heading structure and allowing you to easily click your way through the text. For more info on how to create these, click here . 

A bonus of using the headings pane to correctly label and format all your titles, headings and subheadings, is that you can create a table of contents with just one click of the button. This will be your best friend in the run-up to submission. For more info on how to create a table of contents, click here . 

Another thing that you’re not going to have time to do before submission is manually compile your bibliography. For the love of all that’s holy, use referencing software. My preference is Zotero , because it’s free, simple to use, cloud-based and integrates with Word. It might take you a while to add all your references the first time you use it, but because you can then add the references in the text as you write, compiling your reference list is as easy as telling Zotero what referencing style you need and pressing one button. 

5. Accept criticism 

If there’s one thing that perfectionists can’t handle it is criticism. Ring a bell? It does for me. 

Let me give you an example. I like to think that I’m a pretty great proofreader and PhD-coach . My feedback and reviews are, on the whole, glowing. But sometimes I get a bad one when someone isn’t happy.

Now, the rational part of my brain tells me that I tried my hardest and that one negative review out of hundreds isn’t the end of the world, however disappointing. The perfectionist side tells me that my business is doomed. The imposter syndrome kicks in. ‘They’ve found me out!’ it screams. I panic, think about that one review all day and give it far more space and energy that it deserves. 

You may be the same when it comes to your PhD. Most of the PhD students I interact with tend to have perfectionist tendencies — some more than others. 

When you get feedback on your work, or when you are at conferences or other public speaking events, you sometimes have the same response to negativity. It can feel like the end of the world, and it can feel like your entire PhD journey is in vain. 

Sometimes this can be a good thing. Your worry and attention to detail can mean that you fix problems faster than most and that you’re more careful to avoid them in the first place. But it can also be detrimental. Much like me giving too much space and energy to that one review, you may find that negative feedback and critique can become more significant than it actually is. 

Step one in overcoming this is recognising if and when it’s happening. Ask yourself if you’re putting too much focus on critique. Once you’ve begun to foster greater awareness, you can start to shift your perspective from one of ‘I’m doomed’ to one of ‘Okay, what can I learn from this?’

Above all though, recognise your humanity and give yourself a break. We all make mistakes.   

6. Don’t marry your thesis

Most PhD students feel that to succeed, they need to marry their thesis. Recognise this? Do you feel like you have to devote your entire life to it, pushing away other things that are important for a balanced life (like, say, friends, partners or hobbies)?

Instead of marrying your thesis, treat it like a cruel mistress. See it as this part of your life that is doing its best to ruin you and to make your life as difficult as possible but that you can keep on the periphery as an addendum to an otherwise balanced, fulfilled life. 

What does that mean in practice? It means showing up when you have to and letting it do its best to ruin you. But – and this is the crucial bit – it also means stepping away from it regularly, having clear PhD/life boundaries, not taking things too personally, and realising that your PhD is just one part of your life, not all of it. 

7. Take some time off

We can kid ourselves and pretend every day is going to be a good one, or that we’re going to wake up with a spring in our step. But life (and your PhD) doesn’t work like that.    

You’re going to have days where you feel rubbish, or you don’t want to get out of bed. You’ll wake up with no confidence, or crippled with self-doubt, left wondering what the point of it all is, or why you even started a PhD in the first place. It’s at times like this that you need to embrace the power of taking a day off.

If you teach, find cover. If you work in a lab, let your supervisor know you’re sick. If you have a chapter to finish, it’ll still be there when you come back.

Remember, just because you haven’t got physical symptoms doesn’t mean you don’t need some you-time, or to curl up on the sofa in front of the TV.

The benefits will be great. By recognising your low mood, recharging your batteries and taking time out to care for your own wellbeing you can avoid bigger problems in the long run and come back to your PhD the next day in a more positive frame of mind. The alternative is that you fight through, fail to recognise that part of being human is having off-days, and then create bigger problems as you find your performance lacking and your stress levels rising.

8. Recognise unfairness

Even when you do have off days, or when the world is conspiring against you, don’t fall into the trap of thinking that ‘life is unfair’.

If you ever find yourself saying those words to yourself, ask yourself whether you are doing so because you assume that life should be fair, or because you think it will be fair if only x, y or z changed.

The truth is that life is unfair. The same is true of your PhD. Things won’t go according to plan, good work will get overlooked, more competent people will get promoted, and you will be treated unfairly.

It’s not right, nor is it rational, but it’s reality.

If you go through your PhD program assuming that life is fair, you will be disappointed as you confront the environment around you. I don’t intend to be defeatist. Instead by shifting your assumption about the world and your program – and thus assuming that it is, in fact, unfair – you better prepare yourself for those instances in which things don’t go according to plan or you do get treated badly.

The alternative is kidding yourself that things should go right and then getting thrown off balance when they inevitably don’t.

Building up this resilience is key to deflecting a lot of the irrational, nonsensical behaviours and outcomes you encounter on your PhD journey. Without it, you’ll be disheartened.

 9. Be mindful

I want you to imagine you’re holding a small red pillow. If I were to ask you to pick a pen up off the floor without dropping the pillow, you’d be able to do it. Sure, it’d be a bit cumbersome, but you’d manage.

Now imagine that I added one blue pillow on top of your red pillow. Picking that pen up is getting a bit more difficult now, isn’t it?

Gradually, I add one blue pillow after another. As I do, you start to disappear behind a tower of pillows. Picking that pen up without dropping the pillows is now impossible.

Now imagine that the red pillow represents a problem you’re having with your PhD. Perhaps it’s a problem with an experiment, or an issue you’re having planning a chapter. Whatever it is, it’s an objective issue you’re currently having.

Much like the pen and the red pillow, even though you’ve got that problem on your mind, you can still go about your day to day life largely unencumbered.

The blue pillows represent our brain’s capacity to worry, stress, ruminate, catastrophise and do all the other things it does to turn a small problem into a nightmare. Over time, you start to add blue pillows. You start to worry about whether you’re an imposter, or the perfectionist in you starts to convince you that you’re a failure. You start to worry about whether you’re going to complete the work or even why you bothered to start in the first place.

Much like with the blue pillows, as you add these problems one by one, you start to feel their weight and you can’t perform basic functions. You notice you’re crippled with stress, anxiety or worry.

But you have a choice. Sure, the problem – the red pillow – is real so you can’t really change that. However, you can change how you respond and you can choose not to add the blue pillows. Catch yourself when you’re adding those pillows and stop yourself doing it.

That’s the art of mindfulness. It’s the art of choosing how you respond to the world around you and it’s a great way to manage common PhD stresses and anxieties.

Practising mindfulness in this way sounds straightforward, but it’s an art and it takes practice. A good place to start is a guide I’ve recently published on The PhD Knowledge Base that talks about the science of mindfulness for PhD students.

Wrapping up

No advice is ever going to get away from the fact that doing a PhD is hard and that, to succeed, you need as much guts, resilience and fighting power as you do brains. But it is my hope that these nine tips for achieving PhD success will help you think differently about the journey you are on, and cause you to reflect on your own experience and your own way of doing things.

Keep your head down, be kind to yourself and put the hours in. You’ll get there in the end.
