“Offices, offices, offices,” said Matt Strauss, the managing partner of PHD Terrace in Midtown. “Tourists, tourists, tourists.” He was waving toward the kaleidoscopic lights and humanity glob of nearby Times Square, visible from the two-floor lounge that opened in early October atop the Dream Midtown hotel. “But we’re infusing it with our brand of downtown cool,” he said.

“Brand” is the right word. The Tao Group’s mastery of the models-and-bottles equation has built powerhouse night-life franchises like Tao, Lavo and Marquee; this is the second PHD (the original is above the Dream Downtown in Chelsea). In a neighborhood with dreary drinking options, even a cut-and-paste hot spot for happy hour is a useful addition.

PHD is on the 15th and 16th floors of the Dream Hotel, on an unremarkable Midtown block with an Amalgamated Bank and Starbucks. The rooftop is enclosed during the winter, but plants are abundant, vines snake along the wall behind the bar and benches have plaid picnic-style pillows. Downstairs is a clubby rectangle, all dark hues and reflective metal and glass; it’s like being inside a humming kitchen appliance.

Catering to an older after-work contingency means an earlier party. On a recent weeknight, the herd thinned by midnight, though fedoras, leather jackets, man buns and black bodycon dresses remained at tables stocked by promoters. “There’s a lot of young professional guys and girls,” a 35-year old man in a gray suit said. “You can’t tell me there’s not a market in Midtown.” He came with co-workers from the financial technology sector, but he was the last one remaining. “I’m a degenerate, so I’m still here,” he said.

All PhD students at Yale are fully funded. On average, doctoral students at Yale receive more than $500,000 in tuition fellowships, stipends, and health care benefits over the course of their enrollment. Some terminal Master's degree students also receive funding.

Tuition for full-time study at the Graduate School of Arts and Sciences in the academic year 2023-2024 is $48,300.

For PhD Degree Applicants

All PhD students at Yale receive the following financial award, typically for a minimum of five years:

  • a fellowship that covers the full cost of tuition ($48,300 for 2023-2024)
  • a 12-month stipend (minimum of $40,530 for 2023-2024)
  • comprehensive health insurance, including hospitalization coverage and specialty care for students, their legal spouse, and their children
  • a family support subsidy for graduate students with children under the age of 18

Additionally, a Dean's Emergency Fund is available to help students with eligible, unanticipated emergency expenses. In some cases, the Continuing Registration Fee for advanced PhD students is also covered by the Graduate School.

Most PhD students complete their degrees without incurring debt.

For Master's Degree Applicants

Most students pursuing Master's degrees do not receive financial support from the Graduate School and are responsible for paying tuition, but some programs offer limited funding. Please check with the program that interests you for more information.

All Master's students registered at least half time receive Student Basic Coverage at Yale Health. You are also eligible to purchase Hospitalization and Specialty Care coverage at a group rate through the university.

Other Sources of Funding

Some students choose to take loans, participate in work-study programs, or engage in part-time employment to supplement their funding while in Graduate School. More information is available on Other Means of Financing Graduate Education .

Living Cost Estimates

To ensure that our financial aid package provides enough support to enable you to live in New Haven and study full time, we developed a cost-of-living guide (see below). The Office of Financial Aid also uses these calculations to determine financial need as required by certain funding sources and for immigration processes.

Estimated average living expenses include housing and food, transportation, personal and academic expenses (excluding tuition), and hospitalization coverage and specialty care. Expenses for doctoral students may actually be less than the estimate below, since PhD financial packages cover the full cost of single-student hospitalization and specialty care coverage in the Yale Health Plan, as well as half the cost of two-person coverage (for spouses and partners), and the full cost to cover children.

PhD Student Funding FAQs

General funding, what are the current stipend and tuition rates.

The current stipend rate can be found  on the About Graduate Funding pag e , and current tuition rates can be found on the Student Finance website . The stipend rate is set by the dean of The Graduate School (TGS) and the budget office, and approved by the provost. This rate is typically announced during the winter quarter for the following year. Tuition rates are set by the provost’s office and approved by the Board of Trustees each spring. These rates are typically announced during the spring quarter.

Who determines a student’s funding sources (e.g., whether a student will be paid on a fellowship or graduate assistantship)?

Each program determines on a quarterly basis whether or not students will be funded using TGS funds or other sources (e.g., grants). When TGS funds are used, the program determines if this will be through a fellowship or graduate assistantship for each student. Students should refer to their admissions offer letter or program staff regarding their individual funding.

Are PhD students responsible for paying any fees out-of-pocket?

A PhD student's funding covers tuition, stipend, health services fees and the annual health insurance premium.  Any other fees, such as the activity fee, are paid by the student.

How is a PhD student’s funding affected when registered for TGS 512 (Continuous Registration)?

Students do not receive funding (stipend or tuition scholarship) when registered for TGS 512 and are not eligible for the health insurance subsidy. In addition, they do not pay the activity fee and are not eligible for U-Pass. The current tuition charge for TGS 512 is $100/quarter.

Is PhD funding different for international students?

In general, international students are funded the same as domestic students.  However, international students must pass  TGS's English Proficiency Requirement  before they can be funded as a graduate assistant/TA. 

What other funding opportunities are available?

Additional funding opportunities may be available based on eligibility through  The Office of Fellowships , the  Evanston Office of Graduate Financial Aid  (loans),  Interdisciplinary Graduate Assistantships (GAships) , or  TGS Internal Fellowships/Grants . It is the student’s responsibility to obtain approval from their program and coordinate other funding opportunities.

How do external fellowships affect my funding?

Your Northwestern funding package will be adjusted when you obtain external funding. You do not receive external fellowships on top of your full Northwestern funding.

Are financial resources available for relocation/moving expenses?

What is the process when a phd student’s tuition/fees are financially supported by direct billing to a 3rd party sponsor.

If a 3 rd party sponsor, such as an employer or scholarship sponsor, pays for a student’s tuition/fees upfront and without any stipulations, then it may fall under third party billing in which case the Student Finance department can set up a third party billing plan and invoice the sponsor directly; however, before they can do this, the student would need to provide them with an official sponsorship letter. The letter needs to be on company/sponsor letterhead and it needs to include the following information:

  • Type of charges that will be covered (tuition, activity fee, student health plan, etc.)
  • Coverage period (for example: Fall 2021 or 2021-2022 academic year)
  • Address/email address where invoice should be sent
  • Address where any refund/overpayment should be returned

Funding timeline

How many quarters of funding does a phd student receive  .

PhD students in the Humanities and Social Sciences receive 20 quarters (5 full years) of funding. In most programs additional quarters may be banked through the fifth year and used in the sixth year (see banked quarters section below). PhD students in the Sciences and Engineering are typically funded for at least five years through a combination of funding by The Graduate School (TGS) and adviser/program funding. Graduate student funding is a shared responsibility. While financial commitments are made to PhD students for a set number of years, it is important to understand that the overall graduate funding budget is dependent on a significant number of PhD students obtaining external funding.

During what months/quarters are PhD stipends paid?

PhD students are paid year round including over the breaks while they are registered full-time (excluding TGS 512). Please note that the  funding quarters do not exactly match the academic quarters . For example, the first stipend payment for new students is for the period of 9/1 – 9/30 even though classes do not start until late September. Conversely, a student who graduates in the Spring quarter (completes in May) is paid through 5/31 even though classes run a couple of weeks into June. Students receive 3 months of stipend for each quarter although the timing does not exactly match the academic schedule. Below are the funding quarters:

  • Fall: September – November
  • Winter: December – February
  • Spring: March – May
  • Summer: June- August

Is the funding for each program customized based on average time to degree?

No. The University’s funding commitment is standard across all PhD programs. It is not tied to time to degree in order to maximize the funding available to as many students as possible.

What funding from The Graduate School is limited to a PhD student’s first five years?

Any TGS quarters of funding, outside of eligible banked quarters, such as interdisciplinary GAships, cluster quarters, and competitively-awarded fellowships, such as the Nicholson Fellowship, TGS Buffet Fellowship, Ryan Fellowship etc., are limited to a PhD student’s first five years.

What funding options are available to a PhD student after their fifth year?

At the home school’s discretion, eligible banked quarters may be used through a PhD student’s sixth year in the Humanities and Social Sciences. In addition, there is no limitation on funding from outside of The Graduate School, external funding from outside of the University, or scholarships related to external funding. In addition, TGS continues to provide research assistant scholarships (RAS), health subsidies, and tuition scholarships for PhD students with external funding beyond 5 years across disciplines.

When a PhD student graduates, when does their stipend end?

A PhD student will receive a stipend payout through the end of the month in which they complete/submit all degree requirements.

Banked quarters (humanities and social sciences PhD students)

Can phd students bank some of their funding to be used later .

At the home school’s discretion, most Humanities and Social Sciences PhD students may use up to 4 banked quarters to extend their funding through their sixth year. Banked quarters are earned in years 1-5 when a student is funded on quarters outside of their 20 allocated quarters from TGS, such as through interdisciplinary GAships, external fellowships, grant funding, etc. Please check with your program staff or dean’s office to determine if your program participates in banked quarters.

Are banking policies consistent between schools?

The Weinberg College of Arts & Sciences (WCAS) has a formal banking policy that is consistent across most programs. Currently, it is standard in most programs for WCAS Humanities and Social Sciences PhD students to use banked quarters through their sixth year. Please check with your program staff or dean’s office to determine if your program participates in banked quarters.

Additional income (e.g., Permission to Work)

In addition to their stipend, can a phd student perform additional work for pay.

In order for a student to perform additional work for pay, A Permission to Work form must be submitted before the work begins if any of the following thresholds are exceeded:

  • Student will work more than 10 hours/week
  • Time period of service is more than one month
  • Compensation is $600 or more

PhD and MFA students may work no more than 20 hours per week from all sources, including assistantships. Students are responsible for verifying that additional work for pay is permitted based on their funding source (e.g., NSF GRFP, etc.).

Payroll and Taxes

Where can i find out information about payroll, i-9 forms, fnis, direct deposit, w-4s etc.,, why can’t federal taxes be automatically withheld from graduate student fellowships.

Even though graduate student fellowships are considered taxable income, federal law does not require taxes to be withheld, and the amount to withhold varies by individual. To help avoid a significant tax payment at the end of the year, students are encouraged to  complete a W-4 Form  and indicate an amount they would like Payroll to withhold from each stipend payment. Where can I receive assistance with filing my taxes?

Why can’t the student activity fee be automatically deducted from stipend payments.

There is not currently a mechanism in place across the multiple University systems to automatically deduct the student activity fee. If a student activity fee is not paid on time, a registration hold may be placed on the account and a late fee may be charged. Please be sure to check your student account in CAESAR every month.

Undocumented/DACA funding 

How are undocumented or daca students funded.

Undocumented students who are not authorized to work in the U.S. must be funded on fellowships for their entire tenure in the program. DACA (Deferred Action for Childhood Arrivals, a.k.a. Dreamers) students who have work authorization may be funded on assistantships or fellowships.

Healthcare subsidy 

Who is eligible for the health care subsidy.

All TGS PhD students who are registered full-time (3-4 units), except for TGS 512, during the fall quarter are eligible for the healthcare subsidy for the full academic year (Sep 1-Aug 31). The subsidy is automatically applied during the fall quarter as long as the student is enrolled in the Northwestern health insurance plan.

Harvard's financial support package is typically for the first four years of study and the completion year, using a tiered  tuition structure that reduces tuition over time as students progress through their degree programs. This multiyear funding package includes a combination of tuition grants, stipends, traineeships, teaching fellowships, research assistantships, and other academic appointments. In addition, Harvard Griffin GSAS students are particularly successful in securing grants,  fellowships , and other sources of external funding as part of their professional development.

The standard funding package includes:

  • grant toward tuition and fees—paid in full for years 1 through 4, plus the dissertation completion year, with a partially subsidized dental plan option available
  • living expense stipend during years 1 and 2
  • a combination of stipend, teaching fellowships, and/or research assistantships during years 3 and 4
  • if noted in your Notice of Financial Support, summer research funding following the first four academic years from Harvard Griffin GSAS or faculty grants
  • stipend and/or research support during the completion year.

In some programs, the timing and structure of living expense support may vary from this pattern. For example, students in the sciences typically receive full funding until they complete their degrees.

Fully Funded PhD Programs: What Makes them Possible?

Fully funded PhD programs allow doctoral students to focus exclusively on their studies and research, without having to hold a full time job to make ends meet. Full funding is often made possible through one or more fellowships or grants from the department, the graduate school, and other organizations. SMU currently has 55 Moody School funded PhD students.

In addition to propelling SMU forward as a leading research institution, the Moody endowment has an untold impact on the Dallas community surrounding SMU. What Does the Moody Foundation Grant Mean for Graduate Students?

The Moody School of Graduate and Advanced Studies offers master’s and doctoral degrees that span many fields across four of SMU’s colleges and schools. These are the Dedman College of Humanities and Sciences, the Lyle School of Engineering, the Meadows School of the Arts, and the Simmons School of Education and Human Development.

In a purely practical sense, this remarkable donation opens new doors for graduate students seeking fellowships and grants. Students in each of the four colleges and schools noted above can apply for fellowships, grants, and research funding that advance the goals of SMU. Let’s explore each of these funding mechanisms and discuss how prospective SMU grad students can secure these forms of funding.

Fellowships for Graduate Students at SMU

Moody graduate fellowships.

Beginning with the Fall 2021 applicants, SMU will offer fellowships to a select group of PhD applicants. These fellowships reward applicants who show exceptional promise for academic success. They provide tuition waivers, health insurance, and pensions of $30,000 for up to five years.

Students who apply to a PhD program at SMU by the  priority deadline  are eligible for the Moody Graduate Fellowship. Each department may nominate only one candidate, and SMU will consider only candidates nominated by their department.

University PhD Fellowships

Exceptional PhD and students with PhD-equivalents qualify for a fellowship grant that can defray educational costs for up to five years, contingent on satisfactory progress toward the degree.

All students who apply to a PhD program by the priority deadline  are eligible for the University PhD Fellowship. Each department may nominate a limited number of candidates, and SMU will consider only candidates nominated by their department.

Mustang Fellowships

Mustang Fellowships help SMU improve the diversity of its graduate student population. These provide tuition waivers, health insurance, and pensions of $30,000 for up to five years for PhD students who are U.S. citizens or permanent residents and identify as diverse in their academic disciplines.

As a PhD program applicant, you’re invited to apply for this fellowship through a brief essay in your application. You should explain why your educational, cultural, geographic, or familial background will contribute to SMU’s graduate program diversity. Departments nominate candidates for the Mustang Fellowship as part of their application review process.

Moody Dissertation Fellowships

These fellowships recognize and support outstanding PhD students as they complete their dissertations. SMU reserves this award for PhD students in the dissertation-writing phase of their degrees. It is available for those whose research shows exceptional promise for impact in their field of study.

The awards provide tuition waivers, health insurance, and a stipend of $30,000 for one year. Recipients commit to develop and defend their dissertations in the fellowship year. Their departments must nominate students to be eligible for this fellowship.

Dean’s Dissertation Fellowships

These fellowships provide support to PhD students in the dissertation-writing phase of their degrees, allowing them to focus on completing and defending their dissertations. They provide tuition waiver, health insurance, and a stipend commensurate with the standard PhD stipend in their department. Recipients commit to complete and defend their dissertations in the fellowship year. Each department must nominate students to be eligible for this fellowship.

Grants for PhD Students at SMU

Graduate student travel grants.

Graduate students can receive up to $750 in reimbursement for travel expenses to present an accepted paper or poster at a conference. You can apply for a travel grant here.

SMU accepts travel grant applications year-round but awards only one grant per student each academic year. The department chair and the graduate advisor must sponsor each proposal. Note that travel grants cannot be awarded retroactively, you'll need to submit a proposal before you travel.

Dedman Graduate Student Assembly Funding

The Dedman College Graduate Student Assembly (GSA) provides funding for graduate students in each department of Dedman College. The GSA receives a portion of the student fees paid by the graduate students in Dedman College. Those funds circulate back to graduate students who receive small grants to cover certain expenses that range from $100 to a few hundred dollars.

Graduate students can use this funding to pay for thesis and dissertation related expenses, such as presenting a paper or poster at a convention, conference, or other graduate activity, attending conferences, and purchasing membership in professional organizations and journals. Grad students may apply before the funding is necessary, or for reimbursement up to 30 days after the activity.

Public universities are financed by the state in which they are based. Because of this, public universities charge less for students from within the state and more for students from outside the state, including international students.

Private universities are not financed by their state, but by private donors, research funds and tuition fees. For this reason, private universities generally charge higher tuition fees than public universities and require all students to pay the same amount, regardless of whether they come from out-of-state or abroad.

According to the Times Higher Education World University Rankings 2021 , eight of the top ten universities in the world are located in the United States. These are:

Method of Study

The main difference between a PhD in the US and a PhD in Europe lies in the program structure. Whereas a European PhD essentially consists of a single phase lasting three to four years , an American PhD consists of three different phases, each with its own time frame.

  • Phase One – The first phase lasts approximately two years and focuses on building a basic foundation for the doctoral student. This phase consists largely of taught components such as lectures, tutorials and laboratory sessions, in which the student learns more about theoretical concepts and research methods within their discipline.
  • Phase Two – The second phase can be considered an assessment phase, which runs both periodically alongside and at the end of the first phase. Here, students complete coursework and take exams on the basis of the material they have covered of which they must pass in order to proceed to the third phase.
  • Phase Three – The third phase lasts approximately three years and resembles the European PhD structure. During this period, the student undertakes an independent research project, including forming a research design, conducting experiments, writing a thesis (more commonly referred to in the USA as a dissertation) and sitting a viva exam.

Teaching Requirements

Besides structure, a key difference between a PhD program in the US and in Europe is the focus on teaching requirements. In the US, doctoral students are expected to lecture, lead tutorials, host laboratory sessions, mark coursework and provide office hours for undergraduate students. Although students studying in European will likely contribute to these at some point during their study, this would normally be on a voluntary basis and involve less time commitment.

Research Flexibility

Another difference is project flexibility. In Europe, students typically apply to a PhD project predetermined by a supervisor, and although there may be some scope to adapt the project, depending on the funding provider , it will usually be limited to how the project is carried out rather than what it is about. In the US, however, a student applies to become a doctoral candidate within a department rather than applying for a particular research project. This is because students are expected to decide on their thesis topic (also commonly referred to as a dissertation research topic) near the end of their first phase after they have developed a better understanding of their subject and know where their interests lie. Therefore, research students in the US generally have more flexibility and influence in the direction of their research than students in the United Kingdom or Europe.

PhD Admission Requirements in USA

PhD admission into US universities can be highly competitive, both because of the limited number of positions and the large number of annual applicants.

The eligibility requirements for a doctoral program in the USA can generally be divided into four sections:

How to Apply for a PhD in USA

  • Grade Point Average (GPA) – in the US, a scoring system known as Grade Point Average is used to measure academic ability. A student’s GPA is calculated as a weighted score of the subjects they study during their undergraduate degree; an equivalent score is calculated by universities for international applicants. Although universities rarely set minimum GPA requirements for doctoral study, it’s worth being aware that a GPA of 3.0 is equivalent to a UK second class honours (2:1); the typical entry requirement for UK universities.
  • Graduate Records Exam (GRE) – most universities will require you to take a series of examinations known as Graduate Records Exams, which are used to determine your suitability for graduate study. GREs will assess your analytical, reasoning and critical thinking skills as well as your depth of your subject.
  • Student aptitude – in addition to academic ability, US universities also look for characteristics of a strong researcher. These include traits such as engaging in the subject in your own time, e.g. by attending talks and conferences, demonstrating a high degree of independence and enthusiasm, and a general passion for your subject.
  • English Language Proficiency – international students whose first language is not English must sit language exams such as IELTS or TOELF to demonstrate their English language proficiency.

International students will also require a F1 student visa in order to study in the US, however, you would typically apply for this after you have secured a place into a doctorate program.

How to Apply for PhD in USA

When applying for a PhD position at a graduate school, the application process will differ between universities, however, they will all typically ask for the following:

  • Academic CV – a short document summarising your educational background and current level of experience .
  • Personal statement – a document which outlines why you believe you are suitable for PhD study and your passion for the subject.
  • Academic transcripts – a complete breakdown of the modules and their respective marks you have taken as part of your previous/current degree.
  • GRE scores – a transcript of your Graduate Records Exam results.
  • Research statement – a condensed version of a research proposal outlining your general research interests, if required.
  • Recommendation letters – references from several academic referees who endorse your qualities as a person, your abilities as a student and your potential as a doctoral researcher.

Application Deadlines and Fees

Since PhD programs in the United States have taught components, they commence at the same time as all other taught degrees, and therefore share the same application deadlines and start dates. This corresponds to an application period that typically begins in August and ends in February. Admission decisions are typically made in April, with successful students starting in August/September.

When you apply to a graduate school, you will be expected to pay a fee for each doctorate application to cover the school’s administrative costs for processing your application. The fee varies from university to university, but typically ranges from $50 to $100 .

Funding your PhD in USA

It’s very common for a PhD student to receive financial aid in the form of a PhD scholarship; in fact, this will be the case for the vast majority of students in the US.

PhD funding can be ‘fully funded’ covering the student’s graduate program tuition fees, accommodation and living costs, or ‘partially funded’ covering the student’s tuition fee only in part or full.

Besides funding, a graduate student can take on an assistantship, such as a graduate teaching assistant or research assistant, in which they take on a part-time salaried position at the university alongside their studies.

Due to the international and collaborate nature of American universities, there are also a number of international scholarships available, such as the Fulbright Scholarship and the AAUW International Fellowship .

PhD Duration in USA

In the US, a PhD takes approximately 5 – 6 years to complete if studying full-time, and 8 – 10 years if studying part-time.

If you already have a Master’s degree, your first phase can be shortened by one year at the discretion of the university.

Cost of a PhD in USA

The cost of a PhD program in the US can vary considerably depending on the type of university, i.e. whether it’s a public or private university, the doctoral course, i.e. whether it’s in a STEM subject such as computer science, engineering or a non-STEM subject, and whether you are a home or international student.

In general, however, the typical annual tuition fee for a PhD in the US is between $12,000 and $45,000 per academic year.

As with any doctoral degree, additional costs may include travel for collaborations, bench fees, accommodation and living expenses.

When applying for a PhD research position, you usually need to submit certain documents, including an academic CV and a cover letter for PhD application .

A PhD cover letter, also referred to as an academic cover letter, should be carefully crafted, well-formatted, and contain specific sections.

We'll show you how to do exactly that, along with a sample of an academic cover letter from a real person admitted to a PhD program at Lyon University in France.

An academic cover letter is a document that PhD candidates submit alongside their academic CV when applying for a PhD. 

Essentially, it's a cover letter for a PhD application.

It's not exactly the same as your regular business cover letter. Nor is it the same as a personal statement or a motivation letter .

The purpose of a cover letter for PhD application is to explain to the reader, who's likely a researcher or a professor, what you can contribute to their institution and/or field.

Moreover, in a PhD application cover letter, you should explain why you're a good match for the research position on the program.

Differences between academic cover letter and business cover letter

Both these documents serve different purposes and people use them in different settings:

  • Academic cover letter is used when applying for positions in academia — most often for a PhD. More emphasis should be on education, research background and scholarly accomplishments. Moreover, it should explain what your contribution to the institution or field could be. It should also point the reader to your academic CV.
  • Regular (business) cover letter is normally used when applying for any kind of job . Hence, more emphasis should be on skills and past experience while being tailored to a specific job position. You should also explain why you're a good fit for the position at the given company. It should point the reader to your resume.

There are also other documents people often mistake for an academic cover letter. These include:

  • Motivation letter is especially relevant for fresh graduates when applying to a university, a non-profit organization, or voluntary work. A motivation letter focuses more on your interests and motives for applying.
  • Personal statement. Also used in an academic setting. It's always written by an applicant, often a prospective student, applying to college, university, or graduate school. You explain why you've chosen a particular course and why you'd be good at it. Other names include a statement of purpose or a letter of intent .

Like every cover letter, an academic one also needs to include specific elements and content sections. These are:

  • Header. Here, provide your contact information, such as your name, address, phone number, and email in the header of the document.
  • Formal salutation. In an official letter like this one, you should address the reader in a professional and formal way. If you know who'll be reading your cover letter, go with Dear Dr. [Surname] or Dear Professor [Surname] . If you don't, go with Dear Sir/Madam .
  • The specific PhD program or position. Clearly state in your letter which research position you're applying for or the name of the PhD program. A cover letter is usually read before a CV, so you need to make sure everything is clear.
  • Your motivation. Explain why you're interested in the specific PhD position — it's one of the key elements you should include.
  • Your academic background. Now, we don't mean you should list in detail every single university course you ever took. Instead, focus on the most relevant course for the PhD and describe in detail what you learned, any projects you worked on, why it was interesting (and optionally, what knowledge gap you identified). In this way, you also show a certain level of understanding of the field.
  • Your ambition. Briefly mention what your ambitions, intentions, and plans are regarding your contribution to the field when securing your PhD position. How is your research going to enrich the field? How will the institution benefit from it?
  • Conclusion. Keep the conclusion short. Contrary to a regular cover letter ending , there's no place for reiterating everything here. Simply thank the reader for your consideration and prompt them to read your academic CV.
  • Formal sign-off. Just pick from the usual: Sincerely, Respectfully, Regards... Then throw in your full name in the following line.

And that's all you need to include!

Applying for a PhD will be a lot less stressful if you follow these tips on how to write a cover letter for a research position:

Consider researching the background of the organization, department, ongoing research projects, and their past and current projects. All that before you start writing your cover letter. Knowing these things will help you tailor your letter to the specific PhD opening.

Before you actually start writing, try to sit down and take a moment to think first. Assess how your past experiences helped you prepare for the PhD position and scribble down those that are most relevant and significant for the specific program. These include any research experiences, research projects, courses, or internships.

In the first few sentences of your letter, you need to convey some basic information about yourself and what specific position you're applying for. The opening should also state firmly why you're a strong candidate for the position/program, by using a persuasive and convincing wording. Here's an example: "As an MChem Chemistry graduate with a narrow focus on the sustainable synthesis of biologically active molecules from the University of Dundee, I am excited to apply to a "Synthesis Of Small Molecule Inhibitors Using Enzymes" PhD programme at an institution with such a strong foundation and numerous research groups in this field."

This is the place where you may explore more extensively on the educational journey that brought you here. Set the foundation for demonstrating how your Master's degree and research experience seamlessly translate into the next phase — the PhD program. Emphasize how your thesis contributes to the field's body of knowledge. Mention any other publications that support your thesis. And, if you can, identify any knowledge gaps or topics that can be explored further.

This paragraph provides the opportunity to neatly tie in together everything the reader has learned about you so far. You can show how your previous experience, coupled with what you'll learn during the PhD program, will come together to produce something novel to enrich the field. First, identify the courses or topics within the PhD program that interest you the most and how they relate to you developing your research further. Second, introduce your future research aspirations and goals. Third, point out how this future work will enrich the field and what will the intellectual merit be.

When ending your PhD cover letter, briefly refer your reader to your academic CV and encourage them to examine all of the remaining projects, courses, publications, or references . Finally, thank the reader for their time and consideration and let them know you look forward to hearing from them. Sign off.

Put the letter in a drawer and don't think about it for a day or two. Then, when you read it again, you'll have a fresh pair of eyes to see the cover letter in a new light. Maybe you decide some things are redundant, or you think of something that's more relevant. Or you know, find a typo here and there.

Just like an academic cover letter needs to contain certain content components, the formatting should also align with the structural expectations for this type of document.

How long should a cover letter be? How to finish a cover letter? And what about the cover letter font and spacing?

Here's a recommended academic cover letter format:

  • Length. While STEM PhD candidates should aim for half a page to one page, humanities candidates can do 1–2 pages.
  • Font. Use one of the classics: Times New Roman, Calibri, or Arial. Just no Comic Sans, we beg you. Keep the size between 10–12 points. Also remember to keep the text clean — no underlining, no bolding, and no color. However, you can use italics if appropriate.
  • Spacing. Cover letter spacing isn't complicated. Just single-space your text, make sure there's a space between each paragraph, and leave a space between the concluding paragraph and your formal sign-off.
  • Margins. The only rule here is that the margins on your cover letter should match those on your CV.
  • Consistence with your CV. Your academic cover letter should match your academic CV in all formatting aspects — including the cover letter font and spacing. For example, Kickresume lets you choose a matching template for your CV and your cover letter, so no need to worry about this.

If the institution provided any instructions for formatting your academic cover letter, don’t get creative and follow their guidelines.

These things ensured Herrera's cover letter was successful:

  • She clearly states her motivation in the opening. In the first two paragraphs, Herrera introduces herself and her motivation to apply for the given PhD program.
  • She describes educational and research background thoroughly. The main body of the letter is dedicated to describing Herrera's educational background, research projects, internships, and skills acquired throughout the way.
  • She presents research aspirations in the letter. Herrera writes: "I have a history of proven results and profound findings. Given opportunity, I’m confident in my abilities to earn similar ground-breaking results while being part of your team."

Even though this example lacks some of the key elements, such as mentioning the specific PhD program or identifying the topics within the PhD program that interest her the most, this PhD cover letter still managed to impress the University of Lyon.
