I’m writing this post in Microsoft Word. Chances are, it’s where you do a lot of your writing as well. It’s easy, convenient, familiar, and gets the job done for simple text documents. There are a lot of great features to MS Word if you want to (or have to) stick with it for your writing. If so, check out our previous post by Hanna on quick tricks for formatting in Word.

Some tasks call for a bit more than a basic word processor, though. If you’ve ever spent too many frustrating hours trying to format a Word document with multiple tables and figures (why does my figure keep moving halfway off the page?!), then you will likely agree that it’s not always the best to work with. As I embark on the dissertation-writing journey, I have been looking for an alternative to MS Word that is up for the job—something that can handle a large multi-chaptered document with robust formatting options.

The ideal software would be cheap (preferably free), fairly quick and painless to learn, and compatible with a reference/citation manager. One barrier to changing software is that my mentor likes using MS Word to edit my documents with the track changes feature. So a bonus would be that files could easily be converted to .docx to ease sending them to my PI for reviews. Here are a few non-Word options I have come across in my search for the best dissertation-writing software that seem to be favorites:

Windows, Mac OS X, Linux/Unix

LaTeX is an open-source document preparation system that was designed for scholarly and technical writing, and is great for handling large documents. It is a powerful and highly customizable typesetting system that, in contrast to MS Word, separates the content and document design. LaTeX is a markup language—it’s not exactly a programming language, but it does have similarities to coding. Because of this, there is definitely a learning curve when starting out. I was first exposed to LaTeX during college and used it to write my undergraduate thesis. It did take a while to learn, but has a huge amount of document support, and a great online community to answer just about any question you come across. The features I found that really made it worth the effort were its phenomenal job at handling mathematical equations, tables, and figures, and its own powerful reference manager BibTeX. Because it was designed to be used with LaTeX, they integrate perfectly and handle citations and cross-referencing effortlessly. One downside is that LaTeX does not export to .docx file format, so if you need a Word document for revisions or submission, there is no streamlined conversion from LaTeX. If you’re lucky, some schools provide LaTeX thesis templates already meeting the required specifications, so all you have to worry about is the content. If you are sold on the powerful and flexible typesetting available with LaTeX, but aren’t crazy about working solely with the markup language, a great compromise is LyX. It uses LaTeX in the background, but lets you write the content in a user interface similar to a word processor like MS Word. It still has all the advanced capabilities of LaTeX for mathematical equations and formatting, and integration with BibTeX. Other users have found that it doesn’t completely remove the need to understand LaTeX, but reduces the learning curve a bit. There are other programs that also provide a graphical editor for LaTeX such as Scientific Workplace or TeXmacs .

Mac OS X, Windows, Linux (beta)

Cost: $35-45 (free 30-day trial)

If you are a veteran GradHacker reader, you’ve likely seen Scrivener mentioned before, like here and here . In addition to standard word processing, Scrivener is great for project management and organization. It combines the visual appeal and ease-of-use that Macs are known for, and its users swear by it. It has a drag-and-drop interface, so a large document can be easily written in fragments, and provides a personal research database for easy storage of notes, folders, images (and just about anything else) that you collect as sources for your project. Another great feature of Scrivener is its compatibility with multiple file formats, making it easy to export in just about any document type. There are a couple of downsides for scientific writing, however. Scrivener lacks integration with reference management software—though users have found ways to handle citations, it doesn’t work seamlessly. It’s also not great for document layout containing formatted tables and figures. Check out this ProfHacker article on the values of Scrivener for academic writing.

An important note: don’t let the preparation of your dissertation get in the way of writing it . A complex document of this size could be edited and formatted forever, so don’t let that be a mode of procrastination! Try the software out, and it you don’t jive with it, stick with what works for you. Tools like these should only be sought if they will streamline the process for you, not hinder it. Adapt your writing software to meet the needs of your writing project. There isn’t always one perfect option—you may find that integrating multiple writing programs works best for the writing, compiling, and editing stages. Maybe all you really need is a distraction-free writing space to get the job done.

A Guide to Dissertation Planning: Tips, Tools and Templates

Dissertations are a defining piece of academic research and writing for all students. To complete such a large research project while maintaining a good work-life balance, planning and organisation is essential. In this article, we’ll outline three categories for dissertation planning including project management, note-taking and information management, alongside tools and templates for planning and researching effectively.

For both undergraduates and postgraduates, a dissertation is an important piece of academic research and writing. A large research project often has many moving parts from managing information, meetings, and data to completing a lengthy write-up with drafts and edits. Although this can feel daunting, getting ahead with effective planning and organisation will make this process easier. By implementing project management techniques and tools, you can define a research and writing workflow that allows you to work systematically. This will enable you to engage in critical thinking and deep work, rather than worrying about organisation and deadlines. 

To get prepared, you can do two things: First, start your preliminary readings and research to define a topic and methodology.  You can do this in summer or during the first few weeks of university but the sooner, the better. This gives you time to discuss things with your supervisor, and really choose a topic of interest. Second, begin preparing the tools and techniques you’ll be using for your research and writing workflow. You can use the preliminary research phase to test these out, and see what works for you. 

Below, we’ll cover three key aspects to consider when managing your dissertation, alongside some digital tools for planning, research and writing. 

The 3 Categories of Dissertation Planning

Project Management and Planning 

Your dissertation is a project that requires both long and short-term planning. For long-term planning, roadmaps are useful to break your work down into sections, chapters or stages. This will give you a clear outline of the steps you need to work through to complete your dissertation in a timely manner. 

Most likely, your roadmap will be a mixture of the stages in your research project and the sections of your write-up. For example, stage 1 might be defined as preliminary research and proposal writing. While stage 3 might be completing your literature review, while collecting data. 

This roadmap can be supplemented by a timeline of deadlines, this is when those stages or chapters need to be completed by. Your timeline will inform your short-term plans, and define the tasks that need completing on a daily, weekly or monthly basis. This approach, using a roadmap and timeline, allows you to capture all the moving parts of your dissertation, and focus on small sub-sections at a time. A clear plan can make it easy to manage setbacks, such as data collection issues, or needing more time for editing. 

Note-taking 

Whether you use a notebook, or digital tool, it’s ideal to have a dedicated research space for taking general notes. This might include meeting notes from supervision, important information from informational dissertation lectures, or key reminders, ideas and thoughts. It can be your go-to place for miscellaneous to-do lists, or to map out your thought processes. It’s good to have something on hand that is easy to access, and keeps your notes together in one place. 

Beyond this, you’ll also need a dedicated space or system for literature and research notes. These notes are important for avoiding plagiarism, communicating your ideas, and connecting key findings together. A proper system or space can make it easier to manage this information, and find the appropriate reference material when writing. Within this system, you might also include templates or checklists, for example, a list of critical reading questions to work through when assessing a paper. 

Information Management 

It’s important to consider how you plan to organise your literature, important documents, and written work. Note-taking is a part of this, however, this goes a step further to carefully organise all aspects of your dissertation. For example, it’s ideal to keep track of your literature searches, the papers you’ve read, and their citations but also, your reading progress. Being able to keep track of how many passes a paper has been through, how relevant it is, or where it fits within your themes, or ideas, will provide a good foundation for writing a well-thought out dissertation. 

Likewise, editing is an important part of the write-up process. You’ll have multiple drafts, revisions and feedback to consider. It’s good to have some way of keeping track of all this, to ensure all changes and edits have been completed. You might also have checklists or procedures to follow when collecting data, or working through your research. A good information management process can reduce stress, making everything easy to access and keep track of, which then allows you to focus on getting the actual work complete. 

Digital Project Management and Research Tools for Dissertation Planning 

Trello is a project management tool that uses boards, lists and cards to help you manage all your tasks. In a board, you can create lists, and place cards within these lists. Cards contain a range of information such as notes, checklists, and due dates. Cards and lists can be used to implement a digital kanban board system , allowing you to move cards into a ‘to-do’, ‘in progress’ or ‘complete’ list. This gives a visual representation of your progress.

This is a flexible, easy to use and versatile tool that can help with project management of your dissertation. For example, cards and lists can be used to track your literature, each card can represent a paper and lists could be 1st pass, 2nd pass, or be divided into themes. Likewise, you can use this approach to organise the various chapters or stages of your dissertation, and break down tasks in a visual way. Students have used Trello to manage academic literature reviews , daily life as an academic , and collaborate with their supervisors for feedback and revisions on their write-up. 

Notion is an all-in-one note-taking and project management tool that is highly customisable. Using content blocks, pages, and databases, this tool allows you to build a workspace tailored to your needs. Databases are a key feature of Notion, this function allows you to organise and define pages using a range of properties such as tags, dates, numbers, categories and more. This database can then be displayed in a multitude of ways using different views, and filters. 

For example, you can create a table with each entry being a page of meeting notes with your supervisor, you can assign a date, person, and tags to each page. You can then filter this information by date, or view it in a board format. Likewise, you can use the calendar to add deadlines, within these deadlines, you can expand the page to add information, and switch to ‘timeline’ view . This is perfect for implementing project management techniques when planning your dissertation. 

Although this may sound complicated, there are many templates and resources to get you started . Notion is an ideal tool for covering all three aspects of dissertation planning from project and information management to note-taking of all kinds. Students have used Notion for literature reviews , thesis writing , long-term PhD planning , thesis management , and academic writing . The best part, these students not only share their systems, but have also created free templates to help you build your own system for research. 

Asana is a project management and to-do list tool that uses boards, lists, timelines and calendars. If you’re someone who prefers using lists to organise your life and projects, Asana is ideal for you. You can use this tool to manage deadlines, reading progress, or break down your work into projects and sub-tasks. Asana can integrate with your calendar, which is perfect if you already use other calendar tools for organisation. If something like Notion is too overwhelming, using a mixture of tools with different purposes can be a more comfortable approach. 

Genei is an AI-powered research tool for note-taking and literature management. Your research and reading material can be imported, and organised using projects and folders. For each file, genei produces an AI-powered summary, document outline, keyword list and overview. This tool also extracts key information such as tables, figures, and all the references mentioned. You can read through documents 70% faster but also, collect related articles by clicking on the items in the reference list. Genei can generate citations, and be used alongside other popular reference management tools, such as Zotero and Mendeley . 

This tool is ideal for navigating information management and literature notes for your dissertation. You can compile notes across single documents or folders of documents using the AI-generated summaries. Software, Tools, and Apps that PhDs Must Have

We often are asked to recommend some of the must have software programs, tools, and apps for PhD students, professors, and academics, so we have put together a comprehensive list. These selections are based on our experience using some of them and recommendations made by several of Stephanie’s colleagues via Facebook. Interestingly, for some of the tools listed, there was a lack of consensus about their usefulness so in some instances we provided a few pros and cons to help you make the best decisions based on your needs.

This post was written by Stephanie A. Bosco-Ruggiero (PhD candidate in Social Work at Fordham University Graduate School of Social Service) and Jessica Russell ( freelance writer) on behalf of Dave Maslach for the R3ciprocity project (Check out the YouTube Channel or the writing feedback software ). The R3ciprocity Project started out as a side-project, where David Maslach created an App to help others get feedback on their work (r3ciprocity.com – it is seriously inexpensive and easy to use. You have to try it!) , but it is beginning to grow into a real movement. R3ciprocity helps students, faculty, and research folk by providing a real and authentic look into doing research. It provides solutions and hope to researchers around the world.

As a PhD candidate, a professor, or academic much of your time is spent doing research, so it’s important to do as much as possible to ensure your projects and tasks run as smoothly as possible. The list below includes software, apps, and tools to help you take notes, manage projects, do statistical analysis, edit and cite your writing, convert files to and from PDF and eBook format, survey respondents, help you concentrate, and aid in graphic and art creation. We also threw in some tools to help with self care including mindfulness and meditation apps.

Note Taking

There are times when an idea or inspiration pops up in the moment and you need to jot it down, or you’re focusing on one task and you think of something that will help with another. Note taking apps and software programs help you jot down those ideas to save for later. Check out this amazing post on how professors check for plagiarism – it is pretty helpful). They also help you organize your notes for teaching, research, and other projects. Get a program that is web based so you can sign on anywhere, including your phone. Most allow syncing via multiple OS and Browsers. Of course, you may always also benefit from a simple electronic post it app that you can install on your desktop (don’t go too crazy though, I once crashed my laptop by having like a hundred notes). Phones of course also have handy note taking and reminder apps. But we recommend the following apps and tools for more comprehensive academic note taking: 

Google Keep

In July 2021, I polled the R3ciprocity YouTube community about the best note-taking software, and here is the results from 174 responses! Thank you! As you can see, the best note-taking software is OneNote or Evernote, but many people have others that they use.

Word Processing

Writing will take up a bulk of your time and using software that has a great UX and is easy to navigate will reduce the time you spend with unnecessary editing and fumbling with tools that slow you down. The software we recommend are staples of the industry and are most popular among writers. Make sure you explore Microsoft Word online as well. It is useful when you have work across multiple devices. Microsoft can be seamlessly integrated with OneDrive but make sure your settings are right so you don’t lose anything! The usefulness of Good docs and drive also cannot be understated. 

Stephanie resisted Google Docs for a long time because I feared I would lose something or the document would not look as polished as a Word document, but you can download your file as a Word document, plain text, PDF, etc. The thing that really sold me on Google Docs though was the ability to work with a team to collaborate on writing, provide suggested edits, accept or reject edits, and be able to do all of this real time. You can also easily chat to the side of the document as you collaborate and edit. You can keep your documents in shared drive and designate who has permission to access and edit.

Grammar Checking, editing, and Proofreading

Hey, did you hear about this neat proofreading and editing program called r3ciprocity 😉 It allows you to pay forward the favor of proofreading and reviewing by collecting credits which you can then use when you need your work reviewed. You can also buy credits if needed. Check out Dave’s platform at https://www.r3ciprocity.com/ The platform is also building a community of scholars that can be helpful to you when you need scholarly work reviewed or just need to bounce around some ideas.

Be careful using automated proofreading or editing software or tools as they may not pick up on the nuances of your work or the points you are trying to make. Also, try to use alternatives before you hire a pricey writing consultant, proofreader, editor, or coach. Sometimes hiring someone is needed, but if you need lighter editing and reviewing check out r3ciprocity.com and contact Dave if you have any questions about the platform.

Statistical Analysis

Of course you are going to need statistical analysis software to complete that thesis or dissertation, and as an academic, analyze your data and produce manuscripts. Many doctoral programs train their students using IBM’s SPSS but some also or alternatively train their students in R or Stata. Stephanie personally prefers the point and click functionality of SPSS which also allows advanced coders to exclusively use syntax to conduct analyses. Personally, she prefers to use a mix of point and click and syntax. There is a plethora of guidebooks and manuals, print and online, to help you become fluent in SPSS. New versions are released regularly and students can purchase SPSS inexpensively (read more below). However, for those who prefer to code and use syntax R and Stata may be more challenging and enjoyable to use.

Since, there is confusion and it matters a lot about what software you should choose early in your career, I (Dave) polled the R3ciprocity community on YouTube in February, 2021 to find out the most common statistical software that researchers use. 106 people responded. Here are the results:

I was actually quite surprised by these results. I knew that R and SPSS would be rated fairly high, but I was surprised by the fact that Stata only got 16.2% of the votes. Stata is such a powerful, and underrated tool. However, I suspect that it is fairly uniquely used by more economics, finance, and business folks. As someone who has used all of these software (other than R), I would highly suggest it. The instructions material alone is a great benefit.

Publishing your manuscript may require turning it into a readable digital format that will translate easily to multiple electronic devices. Whether you are self-publishing, want to convert your work into a polished format, or need this capability for another reason we’ve found that these are some of the best tools out there.

Project Management/Task Management

Research and writing can be overwhelming with the minutia of details you need to record and track. You may also need to keep these details on behalf of or with a writing or research team. Project and task management software will help you stay on task and warn you when you are falling behind. Additionally these programs help when you’re collaborating with a team. Everyone using these tools can get both a big picture view of the project timeline as well as dive into the details to understand how to best manage the project.

Survey Research/ Experience Management

At some point you will send out a survey for your research, or perhaps for another purpose. These survey and experience management tools help you gather that data as well as measure and analyze the results. They both allow you to export to statistical analysis software and have different levels of functionality and pricing. Make sure your university does not have a license before you spend your own money on these tools. Survey Monkey might be more accessible for beginners but Qualtrics is not difficult to use. You might even give Google forms a try for quick, basic surveys of students or another smaller group of respondents.

We conducted a poll of the R3ciprocity YouTube community about the most popular survey tool in March 2021. 56 people responded. The most popular survey tool for researchers is Google Forms. 55 percent of the respondents preferred Google Forms. Honestly, this surprised me because I thought it would be Qualtrics, however this might be explained by the younger and more international audience on the R3ciprocity channel.

Qualitative Data Collection and Analysis

Stephanie does not have a whole lot of experience with qualitative data analysis but has heard that the following programs are quite helpful. They provide some free training and practice modules as well as manuals and guides. Find out which software your department uses and whether you can use it on campus to complete your research. A personal license may be expensive. If you are doing qualitative data collection such as interviews or focus groups you should also download a handy recorder for your device such as Audacity. 

Reference/Citation Managers

Make your life easier by using a citation manager. These programs help you to manage your sources as well as help you build your reference lists. Doing this task manually is silly if you are an advanced researcher. You must have a citation manager if you are completing a dissertation and it is highly recommended for a thesis. Your university may offer a specific program for free so you might go with that one, but others are often either free or low cost, especially the web based versions. Endnote has Endnote Web and Zotero is very easy to integrate into your word processing programs, use collaboratively, and use only. Some people feel that Mendeley and Endnote are clunky. Stephanie personally really likes Endnote but recommends taking some in depth tutorials to learn how to use it properly.

Illustration/Graphics

Your writing may require graphics, diagrams, and other forms of art. Some people rely on the tools native to Microsoft products, but we’ve found that the following programs help further and enhance creativity. Additionally they make creating graphics to support your writing easier and look more professional. Stephanie especially recommends Canva. She discovered it when her students kept mentioning that they were using it to create graphics, brochures, and other illustrated products for social policy advocacy class. It is super easy to use and the library of images is great. You can make business cards, social media posts, infographics, brochures, and more! It’s the hot tool in illustrated document creation today. 

If you need a website for your organization or you want to develop an academic profile site you could use Canva for ideas, photos, and structure. WordPress takes some getting used to but it is inexpensive and versatile. For an academic profile/portfolio you might simply use Academia.com’s template which allows you to feature your writing, projects, interests, experience, etc.

Meeting Software

These days we are all familiar with meeting online. From job interviews to meeting with colleagues, the following are the most used software programs for online collaboration with video and sharing tools. One of these platforms may be available to students for free so investigate before paying for any of them. Stephanie prefers Zoom but has heard great things about Teams. WebEx is great for delivering webinars.

FaceTime – Reliable, but only works with other FaceTime users.

In July 2021, I (Dave) polled the R3ciprocity YouTube community about the meeting software that they most use. It turns out that Zoom is a by far the most popular, with 67% of responses selecting Zoom. Most PhDs tend to use Zoom. However, 17% use Google Meet as well.

Programming

What would a PhD without programming? It seems that more and more of us are doing programming during grad school. Here are some best picks that you will use:

Python (Open-source).

Microsoft Visual Studio C++

MatLab (Scientific computing – Dave’s pick).

MapleSoft (Scientific computing).

MathCad (Pretty awesome Engineering software).

In August 2021, I polled 124 PhDs on the R3ciprocity community on YouTube on what is the best programming language for PhDs. Here it is: The most common programming language for PhDs is Python. Around 60% of PhDs use Python as their favorite programming language for their research projects. Python is preferred to Matlab 4 to 1.

Self Care/ Mindfulness

It’s important to practice self care during your doctoral studies or as a professional academic. Taking time out daily with these self care apps will help you center yourself and reduce stress. In addition they will help you stay on task and make your life one in which you can find a calm space to just be mindful wherever you are. If you have a VR headset there are some mind blowing meditation apps you can use to fully immerse yourself in a blissful meditative state. 

White Noise Generator

Some people need complete silence when writing, while some need a portion of their brain to be occupied by music or white noise. When it’s important that nothing distracts you from focusing, especially outside noise from loud environments, we recommend the following to help you stay focused and block out the noise.

Don’t forget that your finances are super important during your PhD. You have to keep your financial life together to get through your PhD Program. Here are some that Dave suggests:

Mint.com (Free, Dave uses it everyday).

Every Dollar (Dave Ramsey’s product).

Data Transparency

Don’t forget to use tools for data transparency. For example, the Open Science Foundation (OSF) offers a suite of tools designed to facilitate transparent and collaborative research. These tools include project management platforms, data repositories, and preprint archives, all aimed at enhancing the rigor and reproducibility of scientific work. Gaining access to software and tools for free

We hope you found this list of suggestions helpful. Remember, do not spend a lot of money on software or other tools if you can get them for free through your university. Most schools now provide a Microsoft suite of tools, including OneDrive, to students for free. Check your IT department’s web page and list of free downloads. Of course, Google apps are free as well. Often, you can’t go wrong with Google but there are apps and tools that may be better that you have to purchase, just don’t spend a whole lot of money, especially if you’re a student. 

When it comes to survey or data analysis software your university may have purchased a license making the software free for students, faculty, and staff users situated on campus. In certain cases, you may also be able to access these software programs for home. What comes to mind is a university wide or department based Qualtrics license or a comprehensive Zoom license. Just check with your department or university before you purchase anything. If you must purchase SPSS for use at home as a student or university affiliated researcher go to studentdiscounts.com . They offer a full array of options for purchasing SPSS licenses for personal use on your own PC or Mac at a deep discount. You just have to provide proof of your university affiliation. 

One more recommendation is to definitely take advantage of a cloud based file storage tool such as OneDrive or Dropbox. If you are not in the habit of backing up your local computer files on a thumb drive, you must back them up on the cloud. Stephanie likes Google Drive, OneDrive, and Dropbox. Which one works best for you might depend on whether you often collaborate, which word processing software you are using, where you access your files, and which one you use for free. Many universities include limited free OneDrive storage as part of the Microsoft Suite offerings.

The most important thing to keep in mind throughout the dissertation project is there are two main aspects to manage; first is the wider project that includes your proposal, research and planning; the other is writing the report or dissertation itself. They are separate sections of the overall project even if they are intrinsically linked.

Managing your time

One of the main components of project management for your dissertation project is  time management .

During your time at university, you will have already developed some time management skills, both consciously and unconsciously. When you had to complete previous assignments, attend lectures, or even to meet up with others to discuss university or none university topics, you had to manage your time effectively to be where you needed to be or do what you needed to do.  

When it comes to managing your time effectively for your dissertation & project, you generally have more control over how you organise your time, but these means you have more responsibility to do it right. Here are some ways to rise to that responsibility:

List and prioritise tasks

The first thing you need to do, is recognise everything that needs to be done: 

Listing tasks

  • Order these by priority. You may want to use a priority matrix   to help with this. Some tasks may be dependent on earlier tasks too, so make sure you prioritise anything that may hold you up.

Once you have done this, you are ready to start timetabling when to do each task.

Timetables/planners/diaries

  • Start by putting in key deadlines and other things that cannot be moved (these do not need to be related to your research project).
  • Look at the list of tasks you made earlier - decide how long you think you will need to complete each stage (this is obviously a guess at this point, but you need to start somewhere). 
  • Timetable as much as you can, especially high priority items or quick wins. Leave gaps though, to allow for some wiggle room when plans change. 
  • Remember to take into account when you work best . Most people work at their cognitive best about 2 hours after they wake up - so mid-morning is usually a good time for things you need to really think about. Leave mechanical tasks for when you know you will be more tired.
  • Be realistic. You may struggle to get lab time when you want it, ethics approval may take longer than you anticipated, participants may be unavailable. Be prepared to move tasks  and fill the gaps with things you CAN be getting on with (like reading and notemaking or learning new software).
  • Leave time for writing up - work backwards from your deadline to timetable that part. However, remember that you do not need to finish your research before you start writing - introductions/literature reviews and parts of the methods section can be written at any time.

Prevent procrastination

Katrin Kilingsieck (2013) defines procrastination as:

the voluntary delay of an intended and necessary and/or [personally] important activity, despite expecting potential negative consequences that outweigh the positive consequences of the delay.

We know this is a big problem for a lot of people - in fact one of the top 25 most viewed TED talks is Tim Urban's  Inside the mind of a master procrastinator - see below. It is always difficult to stop procrastinating when you seem to have so much time to complete one assignment - but there is a reason you have so much time - there is a lot to do!. Managing your research

Research for your dissertation or independent project can take many forms - from lab work to literature based research and everything in between. It is usual to start with your research justification and literature review . This can be written before or during your data-collection stage and can be effective way to use time when you are waiting for other things to happen.

Whether it is face-to-face or online, your first meeting is crucial as it sets out expectations for all future interactions. A lot of it will be spent talking about your research question, suitable methodologies etc. However, make sure you also ask the following:

  • How often can you realistically expect to see me and how long for?
  • Is it OK to email you with questions ?
  • What are your working patterns ?
  • Will you look at draft chapters/sections  and give feedback?
  • Is there anything you will not help me with? 
  • If you are unavailable and I am desperate, where else can I get support ?
  • Can we schedule another meeting now? (Even if this is a long way ahead - get in their diary!)

Further interactions

In any further meetings, make sure you come to them with specific questions to ask . You can also email these ahead of meetings to make sure your supervisor has an idea what you will want to discuss. 

Always take notes , as it is easy to forget things afterwards. Consider asking your supervisor if it is OK to record the meeting - either using your phone in a face-to-face meeting or using the record feature in MS Teams. You can then go through it again later and pick out the key action points.

If you are having real difficulties in getting to see your supervisor or in getting responses from emails, you should talk to or contact the module leader who may be able to intervene on your behalf. There may be a genuine reason why your supervisor is unavailable and they should be able to find this out and let you know, or mediate to ensure you get the support you need. In rare cases, you may be assigned a different supervisor.
