How to edit your dissertation: Some thesis editing tips to get you started

It’s common for supervisors to say: ‘It’s now time to edit your dissertation’, and for you to think: ‘Great!’ and then really soon after ‘But what does that even mean?’. Copyediting and proofreading your dissertation are some of the most important things you will do before it goes off to the examiner, which makes knowing how to edit your dissertation crucial.

The ‘three Cs’ of editing: Making sure your writing is clear/coherent, consistent, and correct

So: what are we actually doing when we edit our dissertations? Editors sometimes talk about the ‘three Cs’ of editing: clarity, consistency, and correctness. And I think that offers us a start as to what we’re trying to do at this stage of the writing process. We have a draft; we know what we want to say, broadly speaking; and we have a structure – it may need tweaking, but we have an idea of how the argument flows from introduction to conclusion. At this point, we want to do three things with this writing: we want to make sure that all of your content is clear (or coherent), that it is consistent, and that it is correct.

What’s the difference between copy-editing and proofreading?

One of the main questions I get asked about what I do is: What is the difference between copy-editing and proofreading? And while both phases of editing involve trying to get your 'three Cs' in place, they look quite different in terms of process and in terms of how long it takes. But, in short, you will need to do both when the time comes to edit your draft. 

Copy-editing is the first bit of the editing process you'll need to undertake as part of the revision process, and it takes time. It can actually be quite disheartening, and I say this not to scare you, but to comfort you if you do find yourself feeling disheartened. This is because you have a full first draft (hooray! Amazing!) but now you sit down and see that there is still so much work to do (boo! Not amazing!). You will often end up needing to make changes so extensive that it feels less like copy-editing and more like rewriting. All part of the process, don't worry.

Once you've got your full draft together, you need to deal with all the fiddly stuff (consistent formatting, spelling, grammar, fixing the sentences you got halfway through and forgot to finish), make your writing voice sound consistent all the way through, address any structural issues, come up with (or hone) your thesis statement and make sure you have a ‘thread’ that runs through all of the chapters and ties the whole thing together, find the full citation details of those blasted I-don't-need-to-write-it-down-I'll-remember-where-that-quote-came-from references... Anyway, that’s copy-editing.

The proofreading stage is essentially you doing your final readthroughs. The idea with proofreading is that we have already picked up on the big errors during the comprehensive copy-editing stage (which will include formatting, consistency checks, tidying up your bibliography,  and so on), so proofreading is about looking at making smaller tweaks: finding any remaining typos, and making sure that you have included all of the bits of your dissertation that your institution might ask you to include in its style guide or submission guidelines (you'll often be asked to sign a statement that all the work is your own, for example). You might also pop in a few more strategic references, and make sure everything is up to date (particularly things like your abstract, table of contents, and any list of tables or figures – it’s really easy to forget to refresh the page numbers of these in particular).

I do suggest leaving a little bit of space between copy-editing and proofreading if you can so that you can revisit your work with fresh eyes, but obviously, there are many factors that will impact how you tackle your edits, including looming deadlines, carer obligations, and work commitments. It really is just a matter of doing the best you can with the time you have.

You do not need to hire a professional thesis editor...

This might seem like an odd thing for a professional thesis editor to say, but there are plenty of reasons why you wouldn’t hire someone to edit your thesis. The first is money: hiring an editor to work on a project the size of a dissertation is expensive. Some, but not all, universities, departments or supervisors are able to provide funding, but even then, it often won’t cover the whole amount. The second is time: professional editors have calendars that fill up in advance, and you may have simply run out of time to engage an editor. A third reason is that you might not actually need that level of editing: you might be confident in your writing skills, or have a supervisor or thesis committee who are able to provide some of the support that an editor might otherwise offer.

Another thing to keep in mind is there are strict rules about what an editor can and cannot do when they edit a thesis . They can certainly help with the fiddly stuff I mention above (like formatting, spelling and grammar, syntax, and whatnot), flag anything that needs your review, and double-check that your references are all in tip-top shape, they can’t do any rewriting or restructuring, or engage with the substantive content of your dissertation. This means that you’ll still have to do many of the things that I mention above in the discussion of ‘copy-editing’ even if you're paying a copyeditor or proofreader to provide professional editing services.

That said, having a professional editor help you to edit your thesis does have its benefits. (But of course I was going to say that). The main benefit they bring to your final draft (apart from hopefully being qualified and experienced) is that they haven't read your work before and they have been trained to pay particular attention to the things that tend to trip writers up. They can become a key part of your supervisory team and make the final steps of your dissertation journey feel more manageable and less overwhelming.

… But you do need to write for your end reader (aka your examiner)

And then the other thing we need to do, when editing a piece of writing, is to keep thinking about the end reader. This is good practice for all writers, but if you are about to submit your dissertation, it’s all the more important because your reader isn’t just any reader: it’s your examiner. You need to be asking questions like:

 How can I make life as easy as possible for the reader (answer: clear, consistent formatting, a pithy thesis statement)?

What can I do to avoid annoying them (things like inconsistent or incorrect spelling or punctuation, an arbitrary mix of single and double quotation marks, or a structure that leaves them feeling lost)?

Am I doing everything I can to help them navigate this dissertation (in other words, is my signposting guiding the reader along)?

Will my thesis make a good impression on the reader (no spelling mistakes or grammatical errors, a tidy bibliography, a table of contents that looks good)?

Now, the thing you need to keep in mind about your examiner is there’s a high likelihood that they will not sit down and read your dissertation in one go. They’re going to have a flick through when it lands on their desk or in their inbox; maybe read the abstract; have a look at the reference list, perhaps. And then they’ll have to run off to run a seminar or pick their kids up from school. And then a few hours later, or the next day, they’ll sit down and read through the introduction, maybe skim the conclusion. Then life gets in the way again – deadlines, someone gets the flu, there’s a pile of assignments being handed in with a tight marking turnaround – and a week passes before they pick it up again. You get the idea.

This means that you need to write for a reader who you know will be busy, sometimes distracted, sometimes grumpy… and write for this reader in every paragraph, in every chapter . Edit your dissertation with a view to making your examiner’s life easier. Because I’m sure you’ll agree that having a happy examiner can only be a good thing. And that’s what editing your dissertation is really all about: making your writing as clear, consistent and correct as you can for your frazzled examiner.

8 straightforward steps to craft an a-grade dissertation.

Writing a dissertation or thesis is not a simple task. It takes time, energy and a lot of will power to get you across the finish line. It’s not easy – but it doesn’t necessarily need to be a painful process. If you understand the big-picture process of how to write a dissertation or thesis, your research journey will be a lot smoother.  

In this post, I’m going to outline the big-picture process of how to write a high-quality dissertation or thesis, without losing your mind along the way. If you’re just starting your research, this post is perfect for you. Alternatively, if you’ve already submitted your proposal, this article which covers how to structure a dissertation might be more helpful.

How To Write A Dissertation: 8 Steps

  • Find a unique and valuable research topic
  • Craft a convincing research proposal
  • Write up a strong introduction chapter
  • Review the existing literature and compile a literature review
  • Design a rigorous research strategy and undertake your own research

Start writing your dissertation

Step 1: Understand exactly what a dissertation is

This probably sounds like a no-brainer, but all too often, students come to us for help with their research and the underlying issue is that they don’t fully understand what a dissertation (or thesis) actually is.

So, what is a dissertation?

At its simplest, a dissertation or thesis is a formal piece of research , reflecting the standard research process . But what is the standard research process, you ask? The research process involves 4 key steps:

  • Ask a very specific, well-articulated question (s) (your research topic)
  • See what other researchers have said about it (if they’ve already answered it)
  • If they haven’t answered it adequately, undertake your own data collection and analysis in a scientifically rigorous fashion
  • Answer your original question(s), based on your analysis findings

In short, the research process is simply about asking and answering questions in a systematic fashion . This probably sounds pretty obvious, but people often think they’ve done “research”, when in fact what they have done is:

  • Started with a vague, poorly articulated question
  • Not taken the time to see what research has already been done regarding the question
  • Collected data and opinions that support their gut and undertaken a flimsy analysis
  • Drawn a shaky conclusion, based on that analysis

If you want to see the perfect example of this in action, look out for the next Facebook post where someone claims they’ve done “research”… All too often, people consider reading a few blog posts to constitute research. Its no surprise then that what they end up with is an opinion piece, not research. Okay, okay – I’ll climb off my soapbox now.

The key takeaway here is that a dissertation (or thesis) is a formal piece of research, reflecting the research process. It’s not an opinion piece , nor a place to push your agenda or try to convince someone of your position. Writing a good dissertation involves asking a question and taking a systematic, rigorous approach to answering it.

If you understand this and are comfortable leaving your opinions or preconceived ideas at the door, you’re already off to a good start!

Step 2: Find a unique, valuable research topic

As we saw, the first step of the research process is to ask a specific, well-articulated question. In other words, you need to find a research topic that asks a specific question or set of questions (these are called research questions ). Sounds easy enough, right? All you’ve got to do is identify a question or two and you’ve got a winning research topic. Well, not quite…

A good dissertation or thesis topic has a few important attributes. Specifically, a solid research topic should be:

Attribute #1: Clear

Your research topic needs to be crystal clear about what you’re planning to research, what you want to know, and within what context. There shouldn’t be any ambiguity or vagueness about what you’ll research.

Here’s an example of a clearly articulated research topic:

An analysis of consumer-based factors influencing organisational trust in British low-cost online equity brokerage firms.

As you can see in the example, its crystal clear what will be analysed (factors impacting organisational trust), amongst who (consumers) and in what context (British low-cost equity brokerage firms, based online).

Attribute #2:   Unique

Your research should be asking a question(s) that hasn’t been asked before, or that hasn’t been asked in a specific context (for example, in a specific country or industry).

For example, sticking organisational trust topic above, it’s quite likely that organisational trust factors in the UK have been investigated before, but the context (online low-cost equity brokerages) could make this research unique. Therefore, the context makes this research original.

One caveat when using context as the basis for originality – you need to have a good reason to suspect that your findings in this context might be different from the existing research – otherwise, there’s no reason to warrant researching it.

Attribute #3: Important

Simply asking a unique or original question is not enough – the question needs to create value. In other words, successfully answering your research questions should provide some value to the field of research or the industry. You can’t research something just to satisfy your curiosity. It needs to make some form of contribution either to research or industry.

For example, researching the factors influencing consumer trust would create value by enabling businesses to tailor their operations and marketing to leverage factors that promote trust. In other words, it would have a clear benefit to industry.

Step 3: Write a convincing research proposal

Once you’ve pinned down a high-quality research topic, the next step is to convince your university to let you research it. No matter how awesome you think your topic is, it still needs to get the rubber stamp before you can move forward with your research. The research proposal is the tool you’ll use for this job.

So, what’s in a research proposal?

The main “job” of a research proposal is to convince your university, advisor or committee that your research topic is worthy of approval. But convince them of what? Well, this varies from university to university, but generally, they want to see that:

  • You have a clearly articulated, unique and important topic (this might sound familiar…)
  • You’ve done some initial reading of the existing literature relevant to your topic (i.e. a literature review)
  • You have a provisional plan in terms of how you will collect data and analyse it (i.e. a methodology)

At the proposal stage, it’s (generally) not expected that you’ve extensively reviewed the existing literature , but you will need to show that you’ve done enough reading to identify a clear gap for original (unique) research. Similarly, they generally don’t expect that you have a rock-solid research methodology mapped out, but you should have an idea of whether you’ll be undertaking qualitative or quantitative analysis , and how you’ll collect your data (we’ll discuss this in more detail later).

Long story short – don’t stress about having every detail of your research meticulously thought out at the proposal stage – this will develop as you progress through your research. However, you do need to show that you’ve “done your homework” and that your research is worthy of approval .

Step 4: Craft a strong introduction chapter

Once your proposal’s been approved, its time to get writing your actual dissertation or thesis! The good news is that if you put the time into crafting a high-quality proposal, you’ve already got a head start on your first three chapters – introduction, literature review and methodology – as you can use your proposal as the basis for these.

What’s the introduction chapter all about?

The purpose of the introduction chapter is to set the scene for your research (dare I say, to introduce it…) so that the reader understands what you’ll be researching and why it’s important. In other words, it covers the same ground as the research proposal in that it justifies your research topic.

What goes into the introduction chapter?

This can vary slightly between universities and degrees, but generally, the introduction chapter will include the following:

  • A brief background to the study, explaining the overall area of research
  • A problem statement , explaining what the problem is with the current state of research (in other words, where the knowledge gap exists)
  • Your research questions – in other words, the specific questions your study will seek to answer (based on the knowledge gap)
  • The significance of your study – in other words, why it’s important and how its findings will be useful in the world

As you can see, this all about explaining the “what” and the “why” of your research (as opposed to the “how”). So, your introduction chapter is basically the salesman of your study, “selling” your research to the first-time reader and (hopefully) getting them interested to read more.

The introduction chapter is where you set the scene for your research, detailing exactly what you’ll be researching and why it’s important.

Step 5: Undertake an in-depth literature review

As I mentioned earlier, you’ll need to do some initial review of the literature in Steps 2 and 3 to find your research gap and craft a convincing research proposal – but that’s just scratching the surface. Once you reach the literature review stage of your dissertation or thesis, you need to dig a lot deeper into the existing research and write up a comprehensive literature review chapter.

What’s the literature review all about?

There are two main stages in the literature review process:

Literature Review Step 1: Reading up

The first stage is for you to deep dive into the existing literature (journal articles, textbook chapters, industry reports, etc) to gain an in-depth understanding of the current state of research regarding your topic. While you don’t need to read every single article, you do need to ensure that you cover all literature that is related to your core research questions, and create a comprehensive catalogue of that literature , which you’ll use in the next step.

Reading and digesting all the relevant literature is a time consuming and intellectually demanding process. Many students underestimate just how much work goes into this step, so make sure that you allocate a good amount of time for this when planning out your research. Literature Review Step 2: Writing up

Once you’ve worked through the literature and digested it all, you’ll need to write up your literature review chapter. Many students make the mistake of thinking that the literature review chapter is simply a summary of what other researchers have said. While this is partly true, a literature review is much more than just a summary. To pull off a good literature review chapter, you’ll need to achieve at least 3 things:

  • You need to synthesise the existing research , not just summarise it. In other words, you need to show how different pieces of theory fit together, what’s agreed on by researchers, what’s not.
  • You need to highlight a research gap that your research is going to fill. In other words, you’ve got to outline the problem so that your research topic can provide a solution.
  • You need to use the existing research to inform your methodology and approach to your own research design. For example, you might use questions or Likert scales from previous studies in your your own survey design .

As you can see, a good literature review is more than just a summary of the published research. It’s the foundation on which your own research is built, so it deserves a lot of love and attention. Take the time to craft a comprehensive literature review with a suitable structure .

But, how do I actually write the literature review chapter, you ask? We cover that in detail in this video post .

Step 6: Carry out your own research

Once you’ve completed your literature review and have a sound understanding of the existing research, its time to develop your own research (finally!). You’ll design this research specifically so that you can find the answers to your unique research question.

There are two steps here – designing your research strategy and executing on it:

1 – Design your research strategy

The first step is to design your research strategy and craft a methodology chapter . I won’t get into the technicalities of the methodology chapter here, but in simple terms, this chapter is about explaining the “how” of your research. If you recall, the introduction and literature review chapters discussed the “what” and the “why”, so it makes sense that the next point to cover is the “how” –that’s what the methodology chapter is all about.

In this section, you’ll need to make firm decisions about your research design. This includes things like:

  • Your research philosophy (e.g. positivism or interpretivism )
  • Your overall methodology (e.g. qualitative , quantitative or mixed methods)
  • Your data collection strategy (e.g. interviews , focus groups, surveys)
  • Your data analysis strategy (e.g. content analysis , correlation analysis, regression)

If these words have got your head spinning, don’t worry! We’ll explain these in plain language in other posts. It’s not essential that you understand the intricacies of research design (yet!). The key takeaway here is that you’ll need to make decisions about how you’ll design your own research, and you’ll need to describe (and justify) your decisions in your methodology chapter.

2 – Execute: Collect and analyse your data

Once you’ve worked out your research design, you’ll put it into action and start collecting your data. This might mean undertaking interviews, hosting an online survey or any other data collection method. Data collection can take quite a bit of time (especially if you host in-person interviews), so be sure to factor sufficient time into your project plan for this. Oftentimes, things don’t go 100% to plan (for example, you don’t get as many survey responses as you hoped for), so bake a little extra time into your budget here.

Once you’ve collected your data, you’ll need to do some data preparation before you can sink your teeth into the analysis. For example:

  • If you carry out interviews or focus groups, you’ll need to transcribe your audio data to text (i.e. a Word document).
  • If you collect quantitative survey data, you’ll need to clean up your data and get it into the right format for whichever analysis software you use (for example, SPSS, R or STATA).

Once you’ve completed your data prep, you’ll undertake your analysis, using the techniques that you described in your methodology. Depending on what you find in your analysis, you might also do some additional forms of analysis that you hadn’t planned for. For example, you might see something in the data that raises new questions or that requires clarification with further analysis.

The type(s) of analysis that you’ll use depend entirely on the nature of your research and your research questions. For example:

  • If your research if exploratory in nature, you’ll often use qualitative analysis techniques .
  • If your research is confirmatory in nature, you’ll often use quantitative analysis techniques
  • If your research involves a mix of both, you might use a mixed methods approach

Again, if these words have got your head spinning, don’t worry! We’ll explain these concepts and techniques in other posts. The key takeaway is simply that there’s no “one size fits all” for research design and methodology – it all depends on your topic, your research questions and your data. So, don’t be surprised if your study colleagues take a completely different approach to yours.

The research philosophy is at the core of the methodology chapter

Step 7: Present your findings

Once you’ve completed your analysis, it’s time to present your findings (finally!). In a dissertation or thesis, you’ll typically present your findings in two chapters – the results chapter and the discussion chapter .

What’s the difference between the results chapter and the discussion chapter?

While these two chapters are similar, the results chapter generally just presents the processed data neatly and clearly without interpretation, while the discussion chapter explains the story the data are telling  – in other words, it provides your interpretation of the results.

For example, if you were researching the factors that influence consumer trust, you might have used a quantitative approach to identify the relationship between potential factors (e.g. perceived integrity and competence of the organisation) and consumer trust. In this case:

  • Your results chapter would just present the results of the statistical tests. For example, correlation results or differences between groups. In other words, the processed numbers.
  • Your discussion chapter would explain what the numbers mean in relation to your research question(s). For example, Factor 1 has a weak relationship with consumer trust, while Factor 2 has a strong relationship.

Depending on the university and degree, these two chapters (results and discussion) are sometimes merged into one , so be sure to check with your institution what their preference is. Regardless of the chapter structure, this section is about presenting the findings of your research in a clear, easy to understand fashion.

Importantly, your discussion here needs to link back to your research questions (which you outlined in the introduction or literature review chapter). In other words, it needs to answer the key questions you asked (or at least attempt to answer them).

For example, if we look at the sample research topic:

In this case, the discussion section would clearly outline which factors seem to have a noteworthy influence on organisational trust. By doing so, they are answering the overarching question and fulfilling the purpose of the research .

Your discussion here needs to link back to your research questions. It needs to answer the key questions you asked in your introduction.

Step 8: The Final Step Draw a conclusion and discuss the implications

Last but not least, you’ll need to wrap up your research with the conclusion chapter . In this chapter, you’ll bring your research full circle by highlighting the key findings of your study and explaining what the implications of these findings are.

What exactly are key findings? The key findings are those findings which directly relate to your original research questions and overall research objectives (which you discussed in your introduction chapter). The implications, on the other hand, explain what your findings mean for industry, or for research in your area.

Sticking with the consumer trust topic example, the conclusion might look something like this:

This study set out to identify which factors influence consumer-based trust in British low-cost online equity brokerage firms. The results suggest that the following factors have a large impact on consumer trust:

As you can see, the conclusion chapter is basically explaining the “what” (what your study found) and the “so what?” (what the findings mean for the industry or research). This brings the study full circle and closes off the document.

In the final chapter, you’ll bring your research full circle by highlighting the key findings of your study and the implications thereof.

How to edit your dissertation

Don't underestimate the time required to review and revise your dissertation. In this third and final part of our series, we look at how to do a good job of editing.

Review your work as a whole

Keep your outline plan in front of you, and go through your work as a whole. Have you developed a clear argument in response to your central question or dissertation title?

Make sure the content matches the title appropriately – don't be afraid to re-phrase your dissertation topic if you've shifted focus while writing or you want to do so while reviewing.

Have you defined key words and concepts early on? That way you remove the risk of confusing the reader. Try to imagine a friend or member of your family who has no knowledge of the subject reading your dissertation, and ask yourself whether you have done enough to explain each term and concept.

Review each section

Read over each section, and make up a title for it to help you check that all points and details are directly relevant.

Does the content all belong in this section? Highlight anything that might be better placed in another section or could be cut, such as parts that are peripheral to the discussion or have been repeated elsewhere.

Is there too much description and not enough analysis? You may need to be more explicit about the implications of a point. In other words, make it clearer to the reader why the point is included, and how it helps to address the problems or questions within your inquiry.

Review each paragraph

Ensure that the first sentence of each paragraph introduces the idea you want to communicate and shows how this paragraph relates to the discussion so far.

Opening phrases such as: "In addition to this problem," "Furthermore," "However," and "In contrast to this view," can help to clarify this relationship. Bear in mind that each paragraph should have just one key idea.

Subsequent sentences in the paragraph might include: An explanation or development of the point you're making A quote or indirect reference from your reading that supports it An example of your own A hint at what still remains to be addressed

Review each sentence

When editing such a large document, it's easy to make simple mistakes. Make sure that you have no sentences longer than three lines and carefully review all punctuation.

As a student, adding page numbers while writing your research papers, dissertations, and theses etc., can be tricky; especially if your document uses a specific formatting style. But, it's not impossible. How can you add page numbers in Word without any complications? After using Word for multiple papers of my own, I have identified the quickest and easiest way of adding page numbers in Word. In this article, I will show you exactly how.

Typical Issues with Adding Page Numbers in Word

It is common for students to encounter a number of different problems while inserting page numbers in Word. Let’s walk through each of these problems and solve them. Here are a few typical issues you might have come across while adding page numbers in your document:

1.Locating the “Insert Page Number” Option

You can normally find the “Page Number” option in the Insert tab on your Toolbar to add page numbers like below:

Some students have also encountered an error while adding page numbers by clicking the button “More page numbers from Office.com”. This further gives the resulting error, “no online content available”. To prevent this error you should follow the below steps to diagnose the problem:

Update your Office to ensure that everything is up to date or;

How to Add Page Numbers to Your Paper in Word [Basic]

In my experience, it was quite simple to add page numbers in my documents, and only got a little tricky when I wanted to format them. I can understand that for some students with a nearer deadline, this can be a frustrating experience. This is why I’ve compiled all the different ways you can add a page number to your paper in Word. To demonstrate, I’ll be using WPS Office, which is easy to follow along and compatible with all Word document versions and devices (Mobile, Windows, or Mac).

Step 1 : First, open the document where you want to add in your page numbers.

If you haven’t started on your document yet, that is okay. You can add in your page numbers and continue your writing later.

Step 2 : Head over to your Toolbar and go to your Insert tab to add in your page numbers

Step 3 : In your Insert tab, you will see the option of “Page Number” and click on it.

Step 4 : After clicking on “Page Number”, you will see a number of different ways you can display your page numbers.

These are built-in templates. Choose the one that best fits your needs.

Note : It might be helpful for you to note that certain academic writing styles require you to use only specific number formats.

For instance, if you are writing your thesis or research paper in APA, MLA, or Chicago format, your page number should be on the top right corner.

How to Add Page Numbers Starting from a Specific Page in Word

For certain academic documents you don’t need page numbers on specific pages, and sometimes you do. It can get a little annoying when you delete a page number from the first page but the next page is still numbered at 2.

It can be helpful to note that if your document is in APA or MLA format, your title page should be page numbered at 1. However, if you’re following the Chicago format, your title page should not have page number at all.

Here’s a simple number of steps you can follow to add page numbers starting from a specific page in Word:

Step 1 : Go to the specific page you want your page numbers to begin.

Step 2 : Insert a section break - “Next Page”  in your previous page.

If you have already written your paper, there are pretty good chances you have already inserted your section breaks. Well done on that!

Step 3 : Double click on either the Header or Footer of the page (where you want to add the page number)

Step 4 : Uncheck the box that says “Link to Previous”

Step 5 : Go to the Insert Tab

Step 6 : Click on “Page Numbers” and choose the format you want

If you want your page number to start from 1, follow these steps after the above:

Step 7 : Click on “Page Numbers” once more and scroll down the menu to “Insert Page Number…”. This will open a pop-up box.

Step 8. In the pop-up menu, go to the option “Start at” and enter 1.

Your page numbers will be in line after this. While this process may seem a little lengthy, it is always helpful in my experience to make sure that you insert your section breaks while you are writing your paper. This helps in giving your paper a finished look, makes creating your table of contents easier, and will make many formatting tasks simpler in the long-run.

Using this, you can even use different number formatting styles for different sections of your page, as per your writing format (APA, MLA or Chicago). For instance if you want to use Roman numbers in the initial sections:

Repeat Steps 1-7.

In the pop-up menu, go to the option “Number Format” and select the formatting you want.

Advanced Format of Page Numbers in Word

If you’ve been tasked with formatting page numbers as “Page X of Y'' in Word, there is no need to worry. This method adds clarity, enhances professionalism, and makes your paper easier to navigate for your reader.

You don’t need to manually add this in, as I’ve noticed some students attempt to do so.

While adding these page numbers manually is possible, I would not recommend it. Why? Here are a few downsides to it. If your document is long and consists of 200+ pages, you might be up all night adding these page numbers.

Secondly, even if your document is short, as soon as you add in an extra page in your paper, all your previous total page numbers will automatically be incorrect and you will have to go back in to edit them out.

Word, especially WPS, makes this a lot easier and makes this process a lot more dynamic. Let’s dive into this process:

Step 1 : When inserting page numbers, go to the Insert tab and the “Page Numbers” Option

Step 2 : When the menu opens up, go to Format Page Numbers

Step 3 : In the Format Option, select “Page 1 of X” and click Ok.

Now it will be easier for you and others to navigate through your paper. I have also noticed that it is also easier to refer to or bookmark pages in this particular case.
