PhD by publication

Although the University of Otago does not offer a specific PhD by publication programme (where publications are bound together for submission), you are encouraged to include publications in a PhD thesis where it is appropriate to do so.

Published material can be included providing:

  • Copyright permission has been obtained.
  • The material is reformatted to be consistent with the thesis chapter format.

It is important that the thesis forms a coherent and integrated document.

Templates & Formatting Assistance

Formatting templates.

Manuscript Clearance provides templates for both Word and LaTeX into which students can type their text directly and that are formatted according to FSU requirements. The main elements in the three templates are the same, but the layout of the Table of Contents is different. You can select a Table of Contents that lists only the main section headings (which is all The Graduate School requires) or one that also lists subheadings, either numbered or unnumbered. 

Please note that these templates are created with general formatting requirements. Specific items such as chapter titles, the number of chapters you include and the content of those chapters is not dictated by The Graduate School.

Library support for EndNote at the University   of Otago

Clarivate, the provider of EndNote, delivers excellent support for EndNote via email and chat as well as training videos and FAQs. The University EndNote subscription includes access to this service.

Final submission and access to the completed thesis

Once the Student Administrators – doctoral – are advised by an examination Convener that a candidate has completed all amendments to their thesis, (what is termed the "final sign-off"), the administrators will  process this in eVision and the candidate will receive an alert from eVision advising them that they can proceed with uploading the final version as below. Candidates are advised not to do this until they receive this alert or have verbal or email confirmation from their Convener to proceed.

The final submission involves the deposit of e-Thesis to the University research archive.

Deposit of the e-thesis

Candidates must submit an electronic copy of their finalised thesis to the University Library via the Otago University Research Archive (OUR Archive). This must be in PDF format, and an exact replica of the corrected thesis that was accepted for their degree – this is the version that was bound.

At the time of submission, candidates must select the level of access to the thesis. Normally "open access via OUR Archive" would be chosen so that the thesis is available to the public. However, in some cases it may be appropriate to select "abstract only for 12 months to safeguard content while publishing”. Alternatively, a thesis may be embargoed with no access for a set period (see below).

Endorsed embargo (thesis)

In situations where the thesis contains sensitive material or has been funded or helped by external research grants, or has publications pending that require longer than 12 months restriction, it may be necessary for the completed thesis to be placed under an embargo, with access restricted for a period of time. This may also be necessary for intellectual property reasons. Restricted access will be permitted only in exceptional circumstances and requires the permission of the Dean of the Graduate Research School.

In the first instance, the candidate will complete the application, only once they have the date for their oral exam or they have completed the oral exam, and pass this on to their primary supervisor and Head of Department for sign off. Applications must be made and the process completed prior to final thesis amendments being approved and deposit of the e-thesis.  Minimum embargo period is 24 months.

Losing access to resources, including your Otago email address

During the examination process you should be able to continue accessing resources such as your ID card, wifi, the Library, Blackboard, and after-hours access to buildings. If you do lose access to these resources, support is available to determine whether you should continue to have access. Email [email protected]

When you submit your final thesis after completing the examination process, you will only be able to access the above resources for a further two weeks. This allows you time to tidy up your office and prepare to leave the University.

Your Otago email address and Office365 should still be available, at least until you graduate.

In preparation for losing your email address, you are strongly encouraged to generate a permanent and professional email address. Also, before graduation, you should ensure you have transferred any files you need from your Otago Office365 account.

  1. Thesis Format

  2. Writing

    Check their details on layout, structure, writing style and formatting. Also check with your supervisor. University of Otago Regulations and Library guidelines are in other tabs in this box. PhD theses are limited to 100,000 words of text, excluding appendices, footnotes and references/bibliographies; Masters theses are up to 40,000 words.

  3. Document setup

    Display ruler and non-printing formatting. While working in your document, you may want to verify the margin settings, or table column widths, etc. Turning on the ruler lets you see the exact sizes of these. It is also a good idea to display all the formatting, even the features that will not print, like spaces, page breaks, etc.

  4. Format of the thesis, Research Master Programme ...

    Candidates should ensure they have backups of research material. A Master's thesis worth 120 points should normally be limited to 40,000 words of text, excluding appendices, footnotes and bibliographies. Theses worth less credits may have lower word limits and candidates are reminded to check the specific regulations for their degree.

  5. Submitting

    You need to submit: A digital PDF file of your thesis either by email or Mail Express. A signed thesis submission declaration form (digital signature is acceptable) emailed to [email protected]. A photocopied or scanned declaration is acceptable as long as the signature is hand written or digital - not typed.

  6. Styles

    A style is a named group of text and paragraph formatting that you can save and re-use in this document and others. By default, all text in a document is set to Normal unless you apply a different one. Using styles with different names helps you to recognise and re-apply the different formatting. ^Top of page.

  7. Basic principles

    Unformatted EndNote citations. To avoid having EndNote corrupt your document, turn off the citation formatting feature. This means all in-text citations remain unformatted, and you have no bibliography until after you have finished writing the entire thesis. You then join the documents together and create the bibliography at the very end.

    This means that if the thesis is submitted on say 16 April, the calculation date will be considered as 30 April and the candidate will receive a pro rata refund based on the two months that remain after 30 April. Note that there is a minimum enrolment level of one full-time equivalent year required for the thesis component of a Master's degree.
